Trustpoint is proud to partner with a well-established law firm in Southfield, Michigan, in its search for an Office & Billing Manager. This is a direct hire opportunity for an experienced legal operations professional who enjoys wearing multiple hats and serving as a key resource for firm administration, accounting, billing, HR, and office operations. The ideal candidate is highly organized, detail-oriented, and thrives in a collaborative, fast-paced law firm environment.
Responsibilities:
- Oversee the firm's day-to-day administrative and operational functions
- Manage payroll processing, employee records, benefits administration, and onboarding/offboarding activities
- Coordinate with outside vendors, IT providers, accountants, and other professional service partners
- Administer office systems, software access, subscriptions, and internal resources
- Support financial operations, including account reconciliations, deposits, expense tracking, and general ledger entries
- Prepare and process client invoices, prebills, electronic billing submissions, and payment applications
- Monitor accounts receivable, assist with collections efforts, and generate financial and billing reports
- Maintain client billing guidelines, budgets, and electronic billing portals
- Process accounts payable, expense reimbursements, vendor invoices, and corporate credit card reconciliations
- Assist with annual audits, compliance documentation, and financial reporting
- Respond to internal staff requests related to payroll, benefits, technology, and office administration
- Recommend and implement process improvements to enhance operational efficiency
- Perform additional administrative, financial, and operational duties as needed
Qualifications:
- 5+ years of experience in law firm administration, legal billing, accounting, office management, or legal operations
- Experience processing legal billing, including electronic billing platforms and client billing guidelines
- Strong knowledge of payroll administration, accounts payable, and accounts receivable
- Experience supporting HR administration, employee onboarding, and benefits coordination
- Proficiency with Microsoft Office, including Excel
- Experience with legal accounting, billing, or practice management software preferred
- Excellent organizational, analytical, and problem-solving skills
- Strong written and verbal communication skills
- Ability to manage confidential information with professionalism and discretion
- Ability to prioritize multiple responsibilities while meeting deadlines
- All candidates must be able to work at a computer screen for a sustained amount of time
