Operations Coordinator
Locations: Westlake/Moneta and Vinton, Virginia
Schedule: Full time, 40 hours per week
Compensation: $19.00 to $30.00 per hour based on experience, plus benefits
Reports to: Director of Operations
About the Opportunity
We are looking for an energetic, organized, and dependable Operations Coordinator who enjoys helping people and making things happen.
This is a hands on position for someone who can move comfortably between customer service, office administration, purchasing, accounting support, event coordination, and special projects. One hour you may be welcoming a customer into our showroom, and the next you may be coordinating a meeting, following up with a vendor, preparing a spreadsheet, or helping organize a community event.
The right person will be a go getter who notices what needs to be done, takes ownership, and follows projects through to completion. You should be comfortable managing multiple priorities, communicating with different departments, and adapting as business needs change.
What You Will Do
As our Operations Coordinator, you will help keep the organization running smoothly by:
- Welcoming customers, vendors, applicants, and other visitors in a professional and friendly manner
- Creating a positive first impression through excellent customer service and communication
- Answering and directing incoming calls, emails, and general inquiries
- Coordinating meetings, conference room schedules, interviews, and administrative logistics
- Building and maintaining positive relationships with vendors and suppliers
- Assisting with purchasing, vendor communications, order placement, and follow up
- Providing basic administrative support for accounts receivable and other accounting functions
- Preparing reports, spreadsheets, correspondence, presentations, and other business documents
- Monitoring office supply inventory and coordinating general office and facility needs
- Maintaining accurate, organized records, files, and administrative documentation
- Helping plan company meetings, employee activities, and customer appreciation events
- Supporting local marketing, social media, showroom displays, and merchandising
- Assisting with community events, trade shows, chamber activities, recruiting events, and job fairs
- Scheduling interviews and coordinating communication with job candidates
- Supporting the onboarding of new employees
- Assisting with internal company communications
- Providing administrative and operational support across multiple departments
- Coordinating assigned projects from the initial planning stage through successful completion
- Supporting leadership with special projects and changing business priorities
What We Are Looking For
The ideal candidate will have:
- Previous administrative, office management, operations, or customer service experience
- Strong organization and time management skills
- Excellent written and verbal communication skills
- The ability to manage multiple priorities and follow through on commitments
- Good judgment, attention to detail, and a professional attitude
- The confidence to work independently while also contributing as part of a team
- A willingness to help wherever needed in a growing, fast paced organization
- A high school diploma or equivalent
Experience in purchasing, vendor coordination, inventory control, bookkeeping, accounts receivable, manufacturing, or warehouse operations is preferred.
An associate degree or higher in business, supply chain, operations, or a related field is helpful but not required. We value practical experience, initiative, dependability, and the ability to get results.
Technology Skills
Candidates should have basic to intermediate computer skills. Experience with the following is helpful:
- Microsoft Excel, Word, Outlook, and Teams
- Phone, Email and Text
- ERP systems such as NetSuite
Physical Requirements
This position requires the ability to:
- Regularly sit, stand, walk, bend, and move between office, showroom, production, and warehouse areas
- Occasionally use a step stool or stair ladder safely
- Lift, carry, or move materials and supplies weighing up to 30 pounds
- Visually inspect products, labels, supplies, and inventory with attention to detail
- Work effectively in a busy manufacturing and warehouse environment
