Position Summary
Certified ADAS is seeking a highly organized and detail-oriented Human Resources, Payroll & Accounting Specialist to support our growing multi-state organization. This position will be primarily focused on human resources, payroll administration, timekeeping compliance, and employee documentation, with additional accounting and bookkeeping responsibilities.
Certified ADAS is a growing automotive technology and service company providing mobile and in-shop ADAS calibrations, vehicle diagnostics, module programming, and related services to collision centers, dealerships, and automotive repair facilities across multiple markets.
The ideal candidate has strong hands-on experience with payroll processing, California HR and wage-and-hour practices, employee timecard auditing, onboarding/offboarding, employee documentation, and HR administration. Experience with ADP, QuickBooks, and Excel is highly preferred.
This individual will play an important role in ensuring payroll and employee records are accurate, timecards are properly reviewed, HR processes are consistently followed, and company practices remain aligned with applicable employment requirements. The position will also provide accounting and administrative support to the Controller and management team.
Human Resources & Compliance Responsibilities
- Serve as a day-to-day resource for HR administration and employee-related processes
- Support compliance with applicable federal, state, and local employment requirements, with a strong emphasis on California employment practices
- Assist management with California wage-and-hour, meal and rest period, timekeeping, overtime, leave, attendance, and employee documentation matters
- Maintain accurate and complete employee personnel files and required HR documentation
- Prepare new-hire documentation, employment changes, separation documents, and other employee forms
- Process and document employee status changes, compensation changes, promotions, transfers, and terminations
- Assist with employee leave requests, attendance matters, and related documentation
- Monitor completion of required employee trainings and acknowledgments
- Schedule and coordinate employee performance reviews, assessments, meetings, and other HR-related appointments
- Support employee performance management and corrective-action documentation
- Assist management with employee relations matters and administrative follow-up
- Help ensure employee records, policies, and processes remain accurate and current
- Prepare employee communications, notices, forms, and other HR documentation
Payroll & Timekeeping Responsibilities
- Independently prepare and process payroll through ADP
- Perform detailed audits of employee timecards prior to payroll processing
- Review clock-in and clock-out times, hours worked, overtime, meal periods, missed punches, timecard edits, and other timekeeping discrepancies
- Follow up with managers and employees regarding missing, incomplete, or unusual timekeeping entries
- Review employee hours, commissions, bonuses, reimbursements, deductions, PTO, sick time, and payroll changes
- Ensure payroll is processed accurately and submitted on time
- Support payroll tax, deduction, garnishment, and compliance-related processes
- Coordinate final-pay and termination payroll processes
Accounting & Bookkeeping Responsibilities
- Provide day-to-day accounting and bookkeeping support to the Controller
- Enter and maintain accurate financial information in QuickBooks
- Assist with accounts payable and accounts receivable
- Prepare and post journal entries as assigned
- Assist with bank and account reconciliations
- Maintain general ledger records and supporting documentation
- Organize invoices, receipts, payment records, expense documentation, and other financial records
- Assist with month-end accounting processes and financial reporting
Administrative & Operational Responsibilities
- Create spreadsheets, reports, trackers, and management summaries
- Assist with vehicle tracking, mileage reporting, vehicle assignments, and related documentation
- Schedule meetings and maintain follow-up items
- Organize company records and administrative documentation
- Support leadership with recurring administrative projects
Required Qualifications
- Previous human resources, payroll, or HR administration experience
- Hands-on experience preparing or processing payroll
- Experience reviewing and auditing employee timecards
- Working knowledge of wage-and-hour and employment practices
- Strong understanding of employee documentation and recordkeeping
- Experience with employee onboarding and offboarding
- Strong attention to detail and commitment to accuracy
- Experience using ADP or a similar payroll and HRIS platform
- Strong Microsoft Excel skills, including the ability to create professional spreadsheets, trackers, and reports
- Working knowledge of accounting and bookkeeping processes
- Experience using QuickBooks or a similar accounting platform
- Excellent organizational and time-management skills
- Ability to manage multiple deadlines and recurring responsibilities
- Strong written and verbal communication skills
- Ability to work independently, identify issues, and take ownership of assigned processes
- Ability to handle confidential employee, payroll, and financial information
Preferred Qualifications
- Strong knowledge of California employment, payroll, wage-and-hour, and timekeeping requirements
- Previous HR experience supporting California employees
- Experience auditing timecards for overtime, meal periods, missed punches, and other payroll discrepancies
- Experience administering employee leaves, attendance policies, and personnel documentation
- Experience processing multi-state payroll
- Experience working with ADP Workforce Now or a similar HR/payroll platform
- Experience using QuickBooks
- Degree in Human Resources, Accounting, Finance, Business Administration, or a related field
- SHRM, PHR, or other Human Resources certification
- Experience supporting a growing, multi-location, or multi-state organization
- Experience creating HR, payroll, accounting, compliance, and operational reports

Pay: $30.00 - $37.00 per hour
