Alternative Ways is seeking a dependable, highly organized Social Recreation Program Scheduler/Coordinator to coordinate staff, clients, transportation, and community activities for our Social Recreation Program serving individuals with developmental disabilities.
Job Hours/Days are: Thursday - Monday 9:00am -5:30pm (subject to change)
This fast-paced position is ideal for someone who can organize multiple moving pieces, communicate effectively, and solve problems when schedules change.
Why This Position Is Important
Our clients rely on dependable staffing and transportation to participate in community activities. The Scheduler/Coordinator helps ensure appropriate staffing, efficient transportation, accurate schedules, and prompt handling of unexpected changes.
Key Responsibilities
- Create weekly staff and client schedules for community-based activities while maintaining required 1:3 staff-to-client ratios.
- Coordinate client pickup/drop-off assignments and efficient transportation routes.
- Match staff assignments based on availability, client needs and preferences, location, vehicle capacity, and activity requirements.
- Collect and track staff availability; distribute schedules and assignment information.
- Respond to scheduling questions, calls, and messages and adjust schedules for cancellations, call-offs, transportation changes, and last-minute changes.
- Locate substitute staff when needed and communicate revised assignments.
- Maintain accurate records of schedule changes, cancellations, no-shows, substitutions, client calendars, and authorized service-hour information.
- Communicate with clients, families, staff, Case Managers, and program leadership.
- Assist with monthly activity calendars, filling activity openings, and staff use of scheduling, mileage, and timekeeping applications.
- Maintain confidentiality and follow program policies and procedures.
What We're Looking For
We are looking for someone who is organized, dependable, detail-oriented, comfortable making decisions, and able to handle frequent interruptions and changing priorities without losing track of important details.
- High school diploma or equivalent required; scheduling, staffing, administrative, or coordination experience preferred.
- Experience with individuals with developmental disabilities or community-based/human-service programs is a plus.
- Strong computer, email, spreadsheet, electronic scheduling, communication, problem-solving, and time-management skills.
- Ability to work independently and recognize when management involvement is needed.
Pay: $22.00 per hour
