Position Summary
We are seeking a Clinic Office Assistant to join our dynamic healthcare team. The ideal candidate will be able to thrive in a fast-paced environment, be detail-oriented, compassionate, and comfortable working in both clinical and administrative settings.
Key Responsibilities
Patient Care & Technical Support
- Welcome walk-in and overflow patients with warmth and urgency, ensuring every patient feels heard and cared for
- Deliver an exceptional patient experience at every touchpoint, from first greeting to follow-up
- Support the clinician during patient appointments, anticipating needs and helping visits run smoothly
- Guide patients through service and repair options with patience, clarity, and compassion
Administrative Duties
- Answer a high volume of calls with professional phone etiquette
- Schedule patient appointments and maintain quality control for new orders
- Perform essential administrative services and track departmental information
- Prepare reports on administrative activities and patient care metrics
- Handle correspondence and confidential patient information
- Maintain accurate documentation in patient management systems
- Coordinate with manufacturers to resolve product issues
Operations & Maintenance
- Maintain infection control protocols for clinical instruments
- Manage supply inventory and place orders as needed
- Ensure clinical areas are properly stocked and maintained
Qualifications
Required:
- High school diploma or equivalent
- Strong computer skills and the ability to learn specialized software
- Excellent communication and organizational skills
- Professional demeanor with a patient-centered approach
Preferred:
- Experience working with older adults
- Healthcare or administrative experience
- Customer service background
