Front Desk Coordinator (Experience Required, FULL TIME)

Position Overview:
We are looking for an experienced Orthodontic Front Desk Coordinator who brings both professionalism and genuine hospitality to our practice. This role is essential in shaping the patient experience.
HOURS: Mondays (9-5pm), Tuesdays (8-5:30pm), Wednesdays 12-7pm, Fridays (8-5pm), Every other Saturday (during school year).
Key Responsibilities:
- Create a warm, welcoming, and elevated experience for every patient and parent
- Manage scheduling with intention, ensuring a smooth and efficient daily flow
- Answer calls, texts, and emails with clarity, kindness, and professionalism
- Verify insurance and clearly communicate financial options and treatment fees
- Submit claims for insurance reimbursement
- Present treatment plans in a way that is supportive, transparent, and educational
- Maintain accurate records and ensure all patient communications are up to date
- Collaborate closely with the clinical team
- Oversee check-in/check-out, collect payments, and manage accounts receivable
- Help maintain an organized, calm, and positive front office environment
Qualifications:
- Minimum 1–2 years of orthodontic front desk experience (required)
- Strong understanding of orthodontic workflows, terminology, and patient coordination
- Exceptional communication and relationship-building skills
- Highly organized with strong attention to detail
- Ability to multitask while maintaining a calm, patient-first presence
- A genuine passion for helping patients and families feel comfortable and cared for
