PRIMARY FUNCTION:
Key responsibilities include coordinating the support tasks directly related to the annual Total Resource Campaign, PROpel AVL, Visitor Center operations/advertising and the Asheville Shop. Tasks will include regular involvement with membership sales and retention, database management, and support of Chamber events as needed. The representative is a primary contact for members, sponsors, and volunteers and is responsible for ensuring member and sponsor satisfaction, retention and customer service. Other key responsibilities include serving as staff lead for the Chamber Challenge 5k Race and the Chamber Classic Golf Tournament and providing excellent member and guest services. Efficiency, ability to multi-task and prioritize duties, speed, accuracy and an upbeat disposition for working with multiple staff members and volunteers are essential.
JOB DESCRIPTION:
· Total Resource Campaign: being familiar with the campaign process, goals and expectations; coordinating all tasks needed for launching the next year’s campaign, including event set-up in the database and volunteer assignments; assisting with editing the Sponsorship Opportunities Guide; preparing the Training Manual for volunteers; preparing sponsorship renewal documents; entering new sponsorship commitments; preparing weekly campaign reports; direct sales support for 9+ campaign volunteers; delegating other tasks as needed to the Member Services Assistant
· PROpel AVL: being familiar with programs and events offered for young professionals; coordinating regular monthly educational workshops and networking events after hours; coordinating and serving as staff lead for the PROpel AVL Awards Celebration; working with the PROpel AVL Committee for planning, executing, and evaluating the PROpel AVL programs
· Visitor Center & Asheville Shop Operations: providing any support tasks needed for securing sponsorships and advertising in the Visitor Center; supporting the Executive Director as needed with renovations leadership support and general clerical tasks; cover information desk or Shop sales counter on occasion; provide clerical support for Visitor Center and Asheville Shop; working knowledge of Shopify systems helpful
· Events: being familiar with all Member Services events and other department events as needed; assisting with planning and managing specific duties as assigned; delegating tasks appropriately to the Member Services Assistant; monitoring sponsor engagement and satisfaction; coordinating preparation of support materials based on event details; assisting other staff leads with various tasks as needed for their respective events
· Chamber Challenge 5k Race: serving as staff lead to coordinate and oversee all details regarding this event, from planning to full execution; working with the timing company to plan and manage registration, race packets, and prizes; developing a promotions strategy and timetable with Communications staff; ensuring all required permits are secured; coordinating volunteer support before, during and after the event; communicating with staff, sponsors, vendors, participants, and volunteers
· Chamber Classic Golf Tournament: serving as staff lead to coordinate and oversee all details regarding this event, from planning to full execution; working with the golf course venue to plan and manage details; developing a promotions strategy and timetable with Communications staff; ensuring all required permits are secured; coordinating volunteer support before, during and after the event; communicating with staff, sponsors, vendors, participants, and volunteers
· Signature Event Support: assisting the Managing Director for Member Services in planning and managing support details for WomanUP events and the Annual Meeting including registrations, sponsor communications, and volunteer recruitment; delegating specific tasks as needed to the Member Services Assistant
· Other General Duties: managing member records in database; communicating by phone or email with members to ensure satisfaction and member retention; providing customer service for members’ inquiries or concerns; preparing monthly trades reports for the VP of Finance; maintaining Standard Operating Procedures for Member Services with timely updates; coordinating schedules with the Member Services Assistant to ensure the front desk is covered during absences; other duties as assigned
JOB KNOWLEDGE:
Requires strong organizational, computer and customer skills, and the ability to prioritize workload effectively. Must have the ability to become extremely well versed on all Chamber events and sponsorships, as well as knowledge of departmental policies and procedures (which are learned on the job). Requires high level of attention to details to accurately maintain records, files and compile data to generate reports. Must be able to follow oral and written instructions, as well as the ability to use sound judgment and common sense in determining matters independently. Must possess excellent communication skills, both written and verbal, and the ability to establish and maintain effective working relationships with co-workers and the general public.
EXPERIENCE AND TRAINING:
Prior work experience of at least 5 years in an administrative or support position, which included strong organizational and computer skills
EDUCATION OR EQUIVALENT:
An Associates or Bachelors Degree is preferred, or equivalent combination of education and related experience or training would be necessary to prepare for this position.
CONTACT WITH OTHERS:
Internal contacts include Chamber personnel and department directors. External contacts include local business, members of the Chamber, board members, volunteers and the public at large. All contacts for the purpose of exchanging or providing information require tact, courtesy and professional decorum.
CONFIDENTIAL DATA:
Has access to management discussions, inter-departmental memos, database, membership information and business inquiries which are considered confidential and would not be in the Chamber’s best interest to disclose.
RESPONSIBILITY FOR ACCURACY:
Computer entries and correspondence must be accurate and well maintained. Most data entry errors could be identified through proofing procedures.
MENTAL/PHYSICAL/VISUAL EFFORT:
The degree of concentration varies from slight to intense based on the work being performed. Position is subject to frequent interruptions, which require varied responses. While performing duties of this job, the incumbent is routinely required to stand, walk, sit, reach with hands and arms, talk and hear. Subject to occasional lifting and carrying supplies weighing up to 30 pounds. Requires visual acuity, manual dexterity and good eye/hand/foot coordination.

Follows and implements well defined policies and procedures. Initiative and resourcefulness are required to handle multiple projects simultaneously, assist potential clients to obtaining necessary information and accurately complete job assignments in a timely fashion.
SPECIFIC COMPUTER SKILLS:
MicroSoft Office (Word, Excel, PowerPoint) and internet skills are required, as well as strong database skills.
Pay: $50,000.00 - $60,000.00 per year
