IT Finance & Contracts Manager
Position Summary
The IT Finance & Contracts Manager is responsible for managing the financial operations and contract administration functions within the Information Technology organization.
Approximately 70% of the role is focused on IT financial management, including Data Analysis, budget planning, expense tracking, forecasting, variance analysis, and reporting. The remaining 30% focuses on contract administration, including managing vendor agreements, software licensing contracts, statements of work (SOWs), maintenance agreements, and contract renewals.
Responsibilities:
Financial Management & Budget Administration (70%)
- Manage and track IT General & Administrative (G&A) expenses, including salaries, contractor costs, software licensing, SaaS subscriptions, service level agreements (SLAs), maintenance costs, and other operational expenditures.
- Support annual budget development, forecasting, and planning processes for the IT organization.
- Monitor actual spending against budget and provide variance analysis and recommendations to IT leadership.
- Prepare recurring financial reports, dashboards, and executive summaries to support decision-making.
- Analyze spending trends and identify opportunities for cost optimization and budget efficiency.
- Partner with Finance to ensure accurate expense allocation, accruals, forecasting, and financial reporting.
- Maintain and update financial tracking tools, reports, and dashboards.
- Utilize SmartSheet, Power BI, Excel, Power Point, and other reporting tools to monitor financial performance and provide actionable insights.
- Support business case development and financial analysis for technology investments and initiatives.
Contract Management & Vendor Administration (30%)
- Administer and manage all IT-related contracts, including vendor agreements, software licensing agreements, statements of work (SOWs), maintenance contracts, cloud service agreements, and professional services engagements.
- Maintain a centralized repository of IT contracts and related documentation.
- Track contract terms, expiration dates, renewal schedules, notice periods, and key contractual obligations.
- Coordinate contract reviews and approvals with Legal, Procurement, Finance, and IT stakeholders.
- Assist with vendor negotiations, pricing reviews, contract amendments, and renewal discussions.
- Manage DocuSign workflows and ensure contracts are executed and archived in accordance with company policies.
- Monitor vendor compliance with contractual requirements and service commitments.
- Identify potential contract risks and proactively escalate issues to appropriate stakeholders.
Required Qualifications:
- 3+ years of experience in IT finance, budgeting, contract administration, procurement, vendor management, or a related function.
- Bachelor’s Degree required.
- Strong experience in Microsoft Excel.
- Demonstrated experience managing G&A budgets and tracking operational expenditures.
- Strong understanding of budgeting cycles, forecasting, variance analysis, and financial reporting.
- Experience administering and managing vendor contracts and contract lifecycle processes.
- Experience tracking software licensing, service agreements, and technology-related expenditures.
- Experience using SmartSheet and/or Power BI for reporting, dashboard maintenance, and data analysis.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Self-Starter with confidence to take on the job with minimal supervision.
- Executive level Power Point skills.
- Process improvement mindset.
