Join as a Controller/ Lead Full-Charge Bookkeeper
“Be the Captain of Cashflow"
We’re looking for a Controller/ Full Charge Bookkeeper who is ready to own the numbers, bring clarity to the financial side of our business, and help us make smart decisions as we grow.
This is not a behind-the-scenes, “just process the paperwork” role.
You’ll play an important part in keeping the business organized, financially healthy, and moving forward. You’ll manage the day-to-day accounting details while also helping leadership see the bigger picture.
We believe accounting is more than spreadsheets and deadlines. It is about creating confidence, building trust, and making sure our team has the information and resources they need to do their best work..
Our Perfect Fit:
- 5+ years of bookkeeping/accounting experience.
- Degree in Accounting, Finance, or related field preferred.
- Mastery of general ledger accounting, month-end close, and financial reporting.
- QuickBooks expertise online preferred
- Knowledge of GAAP, payroll, tax, and compliance basics.
- Experience with AP, AR, reconciliations
- Laser‑sharp attention to detail and organizational superpowers.
- Integrity you can count on day after day, week after week, year after year.
- Curiosity, proactiveness, and a love of improving processes and helping the team.
- A positive, can‑do spirit with the team when those financial puzzles arise.
What You’ll Do:
Operations
- Take the lead in managing the heartbeat of our daily accounting functions—including Accounts Payable, Receivable, payroll, cash flow, tax prep—to keep everything running smoothly.
- Accurately capture, categorize, and reconcile all financial transactions to ensure crystal-clear records.
- Build strong vendor relationships by overseeing invoices, vendor payments, ACH transactions, recurring payables, and refunds with precision and care.
- Own daily banking procedures: from reconciling online accounts, credit cards, and payroll accounts to ensuring everything lines up seamlessly.
- Safeguard the organization’s long-term financial records by maintaining complete fixed-asset, capitalization, capital-expenditure, and depreciation-support schedules.
- Take charge of closing periods—bi-weekly, monthly, and annually—preparing journals, adjustments, and reconciliations to deliver reliable results.
- Complete the monthly close and deliver clear, decision-ready financial reporting by the 15th of each month, enabling leadership to evaluate performance, identify concerns, and make proactive business decisions.
- Take on special projects and unique assignments, contributing to our continuous growth and financial excellence.
Financial Reporting & Analysis
- Ensure revenue is fully and accurately recorded by reconciling deposits across merchant services, CareCredit, insurance payments, cash collections, and check collections.
- Maintain a consistent daily and weekly reconciliation rhythm across bank accounts, credit cards, payroll accounts, merchant-service activity, deposits, and revenue to ensure every dollar is accurately recorded and accounted for.
- Shape meaningful insights by preparing monthly, quarterly, and annual financial statements that clearly tell the story of our performance.
- Conduct analyses that highlight trends and provide actionable recommendations for leadership decisions.
- Monitor company-wide cash flow with weekly and monthly reports that keep everyone aligned and proactive.
- Deliver budget vs. actual reporting that empowers each department to stay on track and perform at their best.
- Support effective costing strategies, inventory control processes, and departmental expense monitoring.
- Analyze financial results to uncover trends, risks, inefficiencies, opportunities, and actionable recommendations that help the organization improve performance and plan for the future.
Tax & Compliance
- Partner closely with the CPA firm to provide complete documentation, resolve questions promptly, and ensure a smooth, well-prepared tax season.
- Ensure accounting practices remain aligned with GAAP standards, internal policies, and evolving regulatory requirements.
- Be audit-ready year-round by preparing documentation and supporting external audits with confidence when and if needed.
You will be more than the person who “handles the books.” You will be a trusted financial partner who helps keep the organization organized, informed, and operating smoothly behind the scenes.
Your attention to detail will make a meaningful difference, from ensuring accounts are accurate to catching the small discrepancies that others may overlook (yes, even that unexplained $0.62). Your work will be recognized, valued, and relied upon by a team that understands the importance of strong financial systems.
You’ll join a collaborative, supportive environment where your expertise is essential, your ideas are welcome, and your strengths in organization, problem-solving, and financial accuracy can truly shine.
About Perfect Smiles
At Perfect Smiles, we’ve built something different—an environment where people genuinely enjoy coming to work and patients feel it the moment they walk in. Originally founded by Dr. David Ahearn. A nationally recognized dentist, CEO of Design Ergonomics, and a leader in dental innovation. Our practice blends advanced clinical systems with a true people-first culture and our patients feel that during their visits.
We’re a private practice with the best of both worlds: small enough that your voice matters and you’re known, and established enough to offer real career growth, stability, and opportunity. We believe great dentistry starts with a strong, supported team, and that’s exactly what we invest in every day.
If you’re someone who values collaboration, growth, and doing meaningful work with a team that actually enjoys one another-you’ll fit right in.
