Job Summary
We are seeking a dynamic and organized Worship/Music Admin to support our vibrant worship team and music ministry. This role is essential in coordinating worship schedules, managing music resources, and ensuring smooth administrative operations that foster an inspiring spiritual environment. The ideal candidate will bring enthusiasm, attention to detail, and exceptional organizational skills to help create a seamless worship experience for our congregation. Responsibilities
- Coordinate worship and music schedules, including rehearsals and service times, ensuring all team members are informed and prepared
- Manage music library, sheet music, and digital resources using appropriate software and filing systems
- Handle communication with worship team members via phone, email, and messaging platforms, maintaining clear and timely correspondence
- Maintain accurate records of attendance, volunteer schedules, and music inventory using tools like ShelbyNext, ProPresenter, and other similar software
- Support event planning for special services or concerts by managing logistics, calendars, and resource allocation
- Provide excellent customer support to team members and congregation members by answering inquiries with professionalism and courtesy
- Assist with clerical tasks such as data entry, proofreading documents, filing, and managing office supplies to keep the ministry organized
Skills
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook, Publisher) and Google Workspace applications
- Experience with (or ability to learn) office management, presentation software (ProPresenter), music notation software (experience with Dorico a huge plus) and general administrative duties
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are a plus to effectively communicate with diverse team members and congregation
- Familiarity with multi-line phone systems, phone etiquette, and front desk responsibilities
- Demonstrated experience in clerical work such as copying, filing, data entry, proofreading, and calendar management
- Strong time management skills with the ability to prioritize tasks effectively while maintaining attention to detail
- Personal assistant or office experience that includes scheduling appointments and managing complex calendars
- Knowledge of music administration or worship ministry is preferred but not required; a passion for supporting spiritual activities is essential
- Basic music literacy and ability to read a chord chart are highly desirable qualities
