We are a small civil sitework contractor based out of Sacramento, looking for a capable office worker to perform duties related to project management of our active jobs, to run the office, and to provide assistance to the estimators prepare bids to obtain new work.
The ideal candidate should be able to work efficiently and navigate quickly on PCs, be capable with Outlook/Microsoft Excel at minimum. Basic accounting skills would be very helpful. Any other software we use can be trained as needed.
Any familiarity with the construction industry would be great, but experience with civil sitework specifically would be preferred. This is not a HARD requirement, but certainly a preference. Familiarity with public works/prevailing wage/apprentice programs would be very valuable as well
Candidates need to be able to wear a lot of shoes, as is typical for small business—"jack-of-all-trades” types are encouraged! We need someone with very strong organizational skills, strong common sense and problem-solving skills, who shows initiative, flexibility, and brings a can-do cooperative attitude to the office every day. Communication skills are VERY important, as even minor misunderstandings can turn into big problems!
Project Management duties would include reviewing daily logs of our active projects, placing orders for materials and setting up deliveries, placing orders for rental equipment and maintaining logs of active rentals on all projects, preparing change orders to submit to clients, tracking project-related costs, preparing lien waivers for ourselves and requesting them from our suppliers, preparing project binders for our field crews, coordinating with local govt. agencies as needed, coordinating with clients to receive payments, occasional errands to help support the field (using company truck).
Office Manager duties would include Payroll (reviewing time punches daily and submitting payroll biweekly), entering bills into QB and making payments on them, assisting with hiring (placing ads for new hires, tracking applicants, "gatekeeper" interviews, tracking our equipment inventory, handling vehicle registrations, purchasing office supplies, etc
We have at least 3-4 active projects currently and need help ASAP. If you have strong experience and you can hit the ground running that would be fantastic, but if you have less experience but are a quick learner that could work out too… ultimately we’re looking for a good personality match and if we can find that candidate everything else can work itself out.
