Job Title: Director of Facilities and Projects
Reports to: General Manager
The Director of Facilities and Projects (“DOFP”) is responsible for the oversight and coordination of all tasks and projects related to the physical assets of the Charleston Harbor Resort and Marina (“Resort”). The DOFP must ensure that the day to day operation and projects are efficiently executed from a time and financial standpoint. The DOFP must be able to communicate effectively, verbally and in writing, to provide clear direction to staff. The DOFP will achieve the desired outcomes through the creation, development and maintenance of a competent, motivated and empowered staff. The DOFP will be responsible for selecting and interviewing staff members, training, supervising, evaluating, and administering progressive disciplinary procedures for housekeeping staff, in order to ensure that the CHR&M high standards of quality are met.
- The DOFP is responsible for ensuring that the engineering team is cross trained on the standards between our 2 hotels and Marina.
- The DOFP will assure guest service standards are being applied consistently and that all hotel and departmental policies and procedures are followed and adhered to.
- Inspect work performed by the Engineering department associates to ensure that it meets specifications and established standards.
- Proactively identify members’ and guests’ needs and coordinates with departments, to ensure they are met.
- Maintains department efficiency indicated by budget and outlook forecasts.
- Sets and maintains goals for productivity and staffing levels.
- Prepares, implements and oversees Preventative Maintenance programs.
- Oversees all 3rd party vendor relations related to facilities and projects.
- Determines supplies to be purchased, sets and monitors inventories in conjunction to budget.
- Provide overall direction, coordination, and evaluation of the Engineering departments.
- Maintaining a high level of professional appearance, demeanor, and ethics in dealing with guests, co-workers, and subordinates.
- Sets project specifications and obtain competitive prices and maintains a Project Charter for all projects which includes Critical Path, Timeline, Responsibilities, Costs, etc.
- Ensure that projects are well vetted and planned; multiple bids obtained, references checked, and resort business levels are considered when planning a project.
- Ensure that projects are completed on time and within budget.
- Responsible for managing the P&L – P&L Reviews and analysis, EOM letter contribution, semi-monthly forecasts and 3 month rolling forecasts.
- Responsible for budget creation and presentation for POM and Utilities.
- Accurately and efficiently maintain the department’s checkbook.
- Ensure all Expense reports are turned in promptly.
- Oversee all aspects of the Marina maintenance program which includes:
- Annual inspections by 3rd parties
- Supply inventory and PAR levels – Cables, chains, connectors, tools, pedestals, lights, etc
- Preventative Maintenance program
- Responsible for the recruitment and ongoing leadership of the Engineering teams for the hotels and the Marina.
- Facilitates and schedules departmental meetings periodically to ensure all staff are well informed of Resort policies, standards, business levels and focus areas.
- Preparation of all reports and paperwork; ensuring all reports for management are completed accurately and submitted in a timely manner.
- Performs all special projects as requested by Managing Director or General Manager.
- Organizes scheduling of the Engineering team according to business levels and needs.
- Reviews and authorizes payroll on a bi-weekly basis.
- Oversees all safety/security aspects of the Resort operation, including Emergency drills, contracted security personnel, training of associates as it relates to emergency procedures.
- Monitors and controls daily revenues and expenses, by ensuring procedures are followed and proper controls are in place and reviews with GM periodically.
- Develops strong working relationships with other department managers and directors, in order to ensure communication and teamwork is at an optimum.
- Conducts interviews and performs reference checks of potential new hires.
- Organizes and administers on-the-job training for new associates and monitors training programs.
- Responsible for maintaining a positive work environment.
- Participates in training classes set up by the Resort.
- Complies with all Resort policies, procedures, and standards of operation.
- Performs any additional tasks or projects, as required.
- Empowers associates to provide excellent customer service.
- Emphasizes guest satisfaction during all departmental meetings and focuses on continuously improving.
- Ensures associates understand expectations and parameters.
- Solicits associate feedback, utilizes an "open door" policy, and reviews associate satisfaction results to identify and address associate problems or concerns
- A minimum of four years of Director of Engineering experience required in a property of similar size and quality is required.
