Position Summary
Service Side Mechanical is seeking a highly organized, detail-oriented Payroll & Benefits Administrator to manage the day-to-day administration of payroll and employee benefits across our growing, multi-state organization.
This role is responsible for ensuring employees are paid accurately and on time, benefit programs are administered effectively, and payroll-related records remain accurate and compliant. The ideal candidate is dependable, analytical, comfortable handling confidential information, and able to work independently in a fast-paced environment.
Key ResponsibilitiesPayroll Administration
- Process and review payroll accurately and on schedule for employees across multiple states.
- Review employee timecards, hours, PTO, deductions, reimbursements, commissions, bonuses, and other payroll-related items.
- Identify and resolve payroll discrepancies before payroll is finalized.
- Maintain accurate employee payroll records, including new hires, terminations, pay changes, deductions, and direct deposit information.
- Process off-cycle payments and payroll corrections when necessary.
- Ensure proper calculation and administration of overtime, garnishments, deductions, and other payroll adjustments.
- Assist employees and managers with payroll-related questions and resolve issues promptly.
- Maintain payroll reports and support payroll reconciliation.
- Coordinate with Finance/Accounting to ensure payroll information is accurately recorded.
- Support multi-state payroll compliance, including applicable wage-and-hour requirements.
Benefits Administration
- Administer employee benefit programs, including medical, dental, vision, life insurance, and other company-sponsored benefits.
- Process benefit enrollments, changes, and terminations.
- Coordinate new-hire benefit enrollment and employee eligibility.
- Support annual Open Enrollment from preparation through completion.
- Maintain accurate benefit deductions within the payroll system.
- Reconcile benefit invoices against employee enrollment and payroll deductions.
- Serve as a primary point of contact for employee benefit questions.
- Coordinate with benefit brokers and carriers to resolve enrollment, eligibility, and coverage issues.
- Assist with COBRA administration and qualifying life events.
- Maintain confidential and accurate benefit documentation.
Employee Records & Compliance
- Maintain accurate payroll, benefit, and related employee records.
- Ensure sensitive employee information is handled with a high level of confidentiality.
- Assist with payroll audits, workers' compensation audits, benefit audits, and year-end reporting.
- Support preparation and distribution of W-2s and other required payroll documentation.
- Monitor payroll and benefits processes for accuracy and recommend improvements.
- Maintain organized documentation and ensure required records are readily available for reporting and audits.
Qualifications
- 2+ years of payroll, benefits, HR administration, or related experience preferred.
- Experience processing payroll independently strongly preferred.
- Experience with multi-state payroll is highly desirable.
- Working knowledge of payroll deductions, overtime, garnishments, benefits, and payroll compliance.
- Strong Microsoft Excel skills.
- Comfortable learning and working within payroll, HRIS, accounting, and reporting systems.
- Exceptional attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple deadlines and priorities.
- Strong written and verbal communication skills.
- Ability to maintain strict confidentiality.
- Strong problem-solving skills with the ability to research discrepancies and follow issues through resolution.

The right person for this position takes ownership. Payroll is accurate and on time. Benefit enrollments and deductions match. Employee questions receive timely answers. Discrepancies are caught before they become problems, records are organized, and leadership can trust the information being reported.
