Summary
Dedicated and customer-focused individual who will provide exceptional customer service to both internal and external clients, supporting various office services and ensuring the smooth operation of daily activities. This role involves a diverse range of tasks, including but not limited to mail & copy center operations, kitchen hospitality, conference room and supply management support services.
Responsibilities:
- Greet all employees & guests; create a warm welcoming experience.
- Provide exceptional customer service to internal and external clients.
- Ability to understand customer goals and initiatives as well as anticipate needs
- Support office services with daily duties such as copy/print production, mail center operations, conference room support, and hoteling / kitchen / pantry hospitality
- Oversee appearance of the hoteling & conference room areas; ensuring they are always presentable and ready to welcome visitors, interview candidates and VIP guests.
- Assist Facilities with internal employee moves and space assignments.
- Perform routine inspections for lobbies, conference rooms, convenience centers and all shared areas; and ensure areas are thoroughly clean and inventories maintained.
- Responsible for inventory management, submitting supply orders and stocking of all kitchen and workroom office supplies.
- Receive and sort incoming mail and packages. Alert recipient upon arrival.
- Prepare USPS Mail & Accountable Express packages for outbound shipments.
- Manage the office postage systems and provide monthly usage reports.
- Assist with mail / package sort and delivery to recipients. Shipping and receiving duties
- Support office moves via packing and moving of furniture and boxes
- Assist with the fulfillment of copy / print request needs
- Backfill coworkers during lunches, breaks, scheduled and unscheduled absences
- Offer suggestions for process improvements to operation’s procedures during account coverage
- Assist with office supply and copier consumable (toner, staples, etc.) management
- Perform daily inspection and touch point service of copier equipment
- Assist with the setup & breakdown for meeting spaces– chairs, easels, food, beverages, etc.
Required Qualifications:
- High School diploma or GED
Preferred Qualifications:
- Excellent customer service skills
Experience working in a professional office environment (legal preferred)
- Proficient in Microsoft Office 365 (Excel, Word, Outlook)
- Able to effectively communicate with all levels of the organization
- Written and oral Communication skills
Physical Requirements
- Able to occasionally lift up to 50 lbs.
