Job Summary
O&M Services LLC is seeking a professional, organized, and customer-focused Receptionist & Marketing Coordinator to support our accounting and tax office. This position serves as the first point of contact for clients while also assisting with marketing, administrative duties, and daily office operations.
ResponsibilitiesReception & Client Support
- Answer incoming phone calls and direct clients appropriately.
- Schedule appointments and maintain calendars.
- Greet clients and visitors professionally.
- Respond to emails, text messages, and social media inquiries.
- Collect and organize client documents.
- Follow up with clients regarding missing information.
Administrative Duties
- Maintain client files and records.
- Assist with data entry and document preparation.
- Scan, upload, and organize digital files.
- Prepare engagement letters and client packets.
- Assist with invoicing and payment collection.
- Keep office supplies stocked and organized.
Marketing Duties
- Create social media posts for Facebook, Instagram, and Google Business Profile.
- Respond to online reviews and messages.
- Assist with email marketing campaigns.
- Update website content as needed.
- Take photos and videos for promotional content.
- Help coordinate community events and networking opportunities.
- Track marketing leads and referrals.
Additional Tasks
- Assist with bookkeeping-related administrative work.
- Support tax season operations.
- Perform other office-related duties as assigned.
Qualifications
- High school diploma required.
- Associate's degree preferred but not required.
- Bilingual (English/Spanish) preferred.
- Strong communication and customer service skills.
- Proficient with Microsoft Office and Google Workspace.
- Experience with Canva and social media platforms preferred.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality of client information.
