As a Construction Project Coordinator, your primary objective is to uphold our high standards of professionalism for both clients and our internal team. In this pivotal role, you will actively contribute to the planning, execution, and successful delivery of Company projects within specified timelines, budgets, and quality standards. Your responsibilities encompass defining project requirements and scope, as well as providing invaluable support to project team members. Working closely with project stakeholders, project managers, and diverse teams, you will ensure seamless communication, monitor project progress, and play a key role in the overall success of our construction projects.
Roles and Responsibilities:
- Coordinate with project stakeholders, including architects, engineers, contractors, and suppliers, upon receipt of RFIs from the Project Manager (PM).
- Assist in the distribution of project schedules provided by the PM.
- Assist in the procurement of materials, equipment, and services.
- Track and maintain project documentation and records.
- Monitor project progress and report on key metrics and reports.
- Support project managers in addressing issues and resolving conflicts.
- Collaborate with the finance team and PM to monitor project expenses, budget, change orders, and invoices.
- Ensure timely preparation and distribution of weekly reports to the owner.
- Distribute, receive, and coordinate bidding documents for review by stakeholders.
- Attend project meetings and document meeting minutes, action items, and decisions.
- Assist in coordinating project activities to ensure timely completion of deliverables.
Documentation and Recordkeeping:
- Maintain project documentation, including contracts, permits, and drawings, and revisions.
- Organize and manage project files, ensuring easy retrieval of information.
- Update project documentation as changes occur and maintain version control.
- Ensure accuracy and completeness of project records and reports.
Procurement Support:
- Assist in identifying procurement needs for materials, equipment, and services.
- Collaborate with the procurement team to obtain quotes and proposals.
- Maintain procurement records and track delivery schedules.
- Assist in resolving procurement-related issues or delays.
Financial Monitoring:
- Collaborate with the finance team to monitor project expenses and invoices.
- Track project costs, flag any financial discrepancies or potential cost overruns.
Qualifications:
- Experience in construction project coordination strongly preferred.
- Strong organizational and communication skills.
- Proficient in project management software a plus.
- Knowledge of construction processes, materials, and equipment a plus.
