The Facilities Manager works directly with the Facilities Director to maintain the overall appearance, functionality, safety, and operational readiness of The Venue at Carley Brook. This position supports the day-to-day operation and maintenance of the property, assists with event preparation, coordinates with vendors and contractors, and participates in venue improvement projects.
Key Responsibilities
Working with the Facilities Director
- Work directly with the Facilities Director to coordinate day-to-day facility operations and maintenance.
- Assist the Facilities Director in prioritizing maintenance needs, property improvements, and operational projects.
- Communicate regularly regarding completed work, upcoming needs, concerns, and recommended improvements.
- Support the Facilities Director with event preparation, property inspections, vendor coordination, and special projects.
- Carry out agreed-upon responsibilities and projects while keeping the Facilities Director informed of progress.
Property & Facility Maintenance
- Conduct routine inspections of the Venue’s buildings, grounds, equipment, and facilities.
- Identify and address maintenance needs and property concerns.
- Complete basic maintenance and repair tasks as appropriate.
- Maintain the cleanliness, organization, and appearance of venue spaces and storage areas.
- Oversee landscaping, snow removal, waste management, and other property services as directed or coordinated with the Facilities Director.
- Maintain inventory of tools, supplies, equipment, and operational materials.
Event Preparation & Support
- Prepare venue spaces for weddings and private events.
- Tractor driving and trailer towing experience preferred, but not required.
- Assist with setup, venue flips, resets, and post-event cleanup as needed.
- Ensure tables, chairs, furniture, equipment, and other venue items are properly maintained and stored.
- Conduct property and facility walkthroughs before and after events.
- Provide facility-related support to the event team during weddings and private events.
Vendor & Contractor Coordination
- Communicate with maintenance vendors, contractors, and service providers.
- Assist the Facilities Director with scheduling and overseeing property-related services and repairs.
- Confirm work is completed properly and according to Venue expectations.
- Maintain records related to maintenance, repairs, warranties, and inspections.
Venue Improvement Projects
- Identify opportunities for property and facility improvements and communicate recommendations to the Facilities Director and ownership.
- Assist with project plans, timelines, and budgets.
- Research and source materials, equipment, vendors, and contractors.
- Coordinate and oversee agreed-upon contractors and outside service providers.
- Complete agreed-upon improvement work directly when appropriate.
- Monitor projects to ensure work is completed properly, safely, and within the agreed-upon scope and timeline.
- Communicate project progress, concerns, or changes to the Facilities Director and ownership.
Specific improvement projects will be discussed and agreed upon by the Facilities Manager, Facilities Director, and/or Venue ownership or management prior to beginning the project. The scope of work, responsibilities, anticipated timeline, and applicable budget or resources will be established for each project.
Safety & Operations
- Help maintain Venue safety standards and operational procedures.
- Report hazards, damages, or facility concerns promptly to the Facilities Director or Venue management.
- Assist with emergency situations involving the property or facilities.
- Maintain familiarity with Venue systems, utilities, equipment, and operational procedures.
Compensation & Schedule
- Employment Status: Part-time or Full-time employee
- Hourly Rate: $21-30+ per hour OR Salary Rate: $55,000 with PTO and Holidays
- Typical Schedule: Schedule will vary based on venue operations, event schedules, maintenance needs, and business demands.
- The position may require occasional evenings, weekends, and event-related support.
- Employee will record hours worked according to Venue procedures.
- Overtime will be handled in accordance with applicable federal and Pennsylvania law.
Pay: $40,000.00 - $55,000.00 per year
