Malloy Ford of Alexandria, VA is seeking an experienced Experienced Automotive Warranty Administrator to oversee the processing, submission, and follow-up of warranty claims with the manufacturer. The ideal candidate will be detail-driven, organized, and familiar with Ford warranty procedures. This role works closely with service advisors, technicians, and the service manager to ensure warranty documentation is complete, compliant, and submitted accurately and timely.

Automotive Warranty Administrator Responsibilities:
- Process and submit warranty claims to Ford and other vendors as required
- Verify all documentation for accuracy, including repair orders, technician notes, and labor operations
- Ensure compliance with manufacturer policies, warranty guidelines, and audit standards
- Track claim approvals, denials, and chargebacks to ensure timely resolution
- Maintain current knowledge of Ford warranty policies and bulletins
- Communicate with service advisors and technicians to resolve claim-related questions
- Reconcile and post warranty credits and payments to accounting
- Prepare for and assist with warranty audits
- Maintain organized warranty files and reporting logs
Automotive Warranty Administrator Qualifications:
- 2+ years of experience as an Automotive Warranty Administrator preferred
- Prior Ford warranty and labor time coding experience strongly preferred
- Strong understanding of dealership repair order documentation and service workflows
- High attention to detail and accuracy with records and data entry
- Ability to problem solve and follow through on claim resolutions
- Proficient with DMS systems (Dealertrack)
- Strong communication and organizational skills
- Positive, professional attitude and team-first mentality
- Valid driver’s license required
