Position Overview:
The Bookkeeping and Payroll Specialist plays a crucial role in the smooth functioning of Lemeza Bookkeeping by accurately maintaining financial records, reconciling accounts, and providing essential financial insights to clients. This position requires a keen eye for detail, strong organizational skills, payroll/bookkeeping experience, and a deep understanding of accounting principles and software.
Position Type: Full Time (32-40 hrs/week, depending on workload and seasonal needs)
Compensation: $20-$25/hr DOE
Location: 301 W Spruce St, Missoula, MT (THIS IS AN IN-OFFICE POSITION)

Responsibilities:
1. Payroll:
-Process bi-weekly, semi-monthly, or monthly payroll for all payroll clients.
-Ensure accurate and timely calculation of wages, overtime, and deductions.
-Process & manage payroll taxes & deductions and file quarterly/annual payroll reports with the State & Fed.
-Assist with year-end payroll activities, including W-2 preparation and distribution.
2. Financial Record Keeping:
- Accurately record financial transactions, including income, expenses, assets, and liabilities.
- Ensure that all financial data is entered into the appropriate accounting software or tools.
3*. Reconciliation:*
- Reconcile bank statements, credit card statements, and other financial accounts to ensure accuracy and identify discrepancies.
- Investigate and resolve discrepancies promptly to maintain the integrity of financial data.
4. Accounts Payable:
- Manage accounts payable processes by accurately recording and tracking invoices from client’s vendors.
- Ensure timely and accurate payments to vendors, following company procedures and financial regulations.
- Reconcile accounts payable balances and resolve any discrepancies.
5. Accounts Receivable:
- Monitor and manage accounts receivable, including generating and sending invoices for clients.
- Track payments and follow up on overdue accounts to ensure timely collections.
- Reconcile accounts receivable balances and address any discrepancies.
6. Data Accuracy:
- Verify the accuracy of entries, calculations, and classifications to prevent errors and inconsistencies.
- Regularly review data to identify any potential issues and correct them in a timely manner.
7. Financial Reporting:
- Generate regular financial reports, including income statements, balance sheets, and cash flow statements.
- Analyze financial data to provide insights and recommendations for clients to make informed business decisions.
8. Client Communication:
- Collaborate with clients to gather necessary financial information and answer inquiries related to bookkeeping.
- Explain financial concepts and reports in a clear and understandable manner to clients without a financial background.
- Answer phones and respond to emails in a prompt manner.
9. Compliance:
- Ensure compliance with local, state, and federal regulations regarding financial recordkeeping and reporting.
- Assist clients in meeting tax-related obligations by providing accurate financial information.
Qualifications:
- Education: Minimum of a Highschool Diploma.
- Experience: Prior experience in bookkeeping/accounting and payroll is REQUIRED. Some customer communications experience preferred.
- Knowledge: Strong understanding of accounting principles, financial regulations, and relevant software applications.
- Attention to Detail: Exceptional accuracy and attention to detail to prevent errors and ensure data integrity.
- Communication Skills: Effective written and verbal communication skills to interact with clients and explain financial concepts clearly.
- Organizational Skills: Ability to manage multiple tasks, meet deadlines, and maintain organized financial records. Ability to work individually and collaboratively.
- Analytical Thinking: Proficiency in analyzing financial data to provide insights and recommendations.
- Software Proficiency: Proficiency with QuickBooks Online and Microsoft Excel is REQUIRED.
- Ethical Conduct: Uphold high standards of confidentiality, honesty, and integrity in all financial dealings.
