Position Title: Administrative Assistant-Bilingual English and Spanish
Agency Description: Roads To Independence (RTI) is a non-profit, grassroots, advocacy organization by and for people with disabilities. RTI is an active agency looking to assist individuals with disabilities live as independently in the community as possible. Core services include but are not limited to Advocacy, Information and Referral, Life Skills Training, Housing, Transportation, Peer Support, Recreation, Assistive Technology and Transition (Youth, Nursing Home, and Diversion from Institutions). We primarily cover Davis, Morgan and Weber Counties.

Status: Part-Time (20–30 hours per week), with the potential to transition to a full-time position (40 hours per week) based on organizational needs and funding availability. Individuals with disabilities are strongly encouraged to apply.
Salary: Based on experience (Range $17 to $22 an hour) with 8% Retirement Benefits, Health Insurance, Dental, Health Savings Account, and other Benefits (for those that are employed at 30 hours and above).

Position Summary
The Administrative Assistant is often the first point of contact for consumers, community members, and partners of Roads To Independence. This position plays a vital role in creating a welcoming and professional environment while helping ensure the smooth operation of programs and services that support people with disabilities in achieving greater independence.
This is a dynamic position that combines customer service, office administration, program support, volunteer coordination, and community engagement. The ideal candidate is organized, detail-oriented, adaptable, and passionate about making a difference in the lives of others.
Principal Duties and Responsibilities
Consumer and Public Support
- Serve as the first point of contact by answering phones, responding to inquiries, taking messages, and directing calls appropriately.
- Welcome and assist walk-in consumers, assess immediate needs, provide information, and connect individuals with appropriate staff and resources.
- Maintain a professional, accessible, and consumer-focused reception area.
Administrative and Office Operations
- Provide multifaceted administrative support to ensure efficient day-to-day operations.
- Receive, log, and distribute incoming mail, correspondence, and electronic communications.
- Maintain databases and records, ensuring accuracy and completeness.
- Coordinate office calendars, meeting schedules, and boardroom reservations.
- Assist with inventory management and ordering of office supplies.
- Coordinate maintenance and repair of office equipment.
- Help maintain clean, organized, and welcoming common areas.
Program and Service Support
- Assist with coordination and communication between programs.
- Support quality assurance efforts by helping develop and implement processes that improve efficiency and accuracy.
- Maintain confidential consumer records in compliance with organizational policies and applicable regulations.
- Assist staff with center activities, events, and special projects.
- Support transportation scheduling and coordination.
- Assist with resource development, information distribution, and community outreach activities.
Assistive Technology and Equipment Support
- Assist with the distribution, inventory management, documentation, and reporting of durable medical equipment and assistive technology, including wheelchairs, walkers, shower benches, canes, crutches, and other mobility devices.
- Process equipment-related paperwork and maintain accurate inventory records.
- Assist with annual reporting requirements related to equipment programs.
Volunteer and Community Engagement
- Recruit, train, coordinate, and support volunteers.
- Participate in disability awareness events, presentations, and public education activities.
- Represent Roads To Independence in a professional manner within the community.
Additional Responsibilities
- Assist with staff meetings, training schedules, guest speakers, and organizational events.
- Manage donation processing and related documentation.
- Assemble and maintain sensitive information, records, and document workflows.
- Perform other duties and special projects as assigned.

Minimum Qualifications
- High School Diploma or GED.
- Bilingual in English and Spanish.
- Strong computer, typing, written communication, and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Ability to pass a criminal background check.
- Willingness to learn about durable medical equipment and assistive technology.
- Ability to safely lift, move, or assist with equipment weighing up to 25 pounds, with reasonable accommodations available where appropriate.
Preferred Qualifications
- Experience working in an administrative, nonprofit, social services, healthcare, or disability-related setting.
- Knowledge of community resources and support services.
- Understanding of, or willingness to learn about, the Independent Living philosophy and disability rights.
- Familiarity with the Independent Living Movement, the Americans with Disabilities Act (ADA), and disability-related issues.
- Experience working with individuals with disabilities, older adults, or other underserved populations.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent teamwork, collaboration, problem-solving, and communication skills.
- Ability to work independently while contributing positively to a team environment.
- Reliable transportation for occasional travel within Weber, Morgan, Davis, and Salt Lake Counties.
- Lived experience with a disability is highly valued.
