We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks to ensure smooth daily operations. Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette.
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy.
- Assist with office management duties such as calendar management, appointment scheduling, and coordinating meetings.
- Support administrative tasks including bookkeeping with QuickBooks, managing invoices, and basic office bookkeeping.
- Maintain office supplies inventory and coordinate with vendors as needed to ensure smooth operations.
- Provide excellent customer support by addressing inquiries via phone or email and offering assistance as required.
Qualifications
- Proven experience in office management or administrative support roles, preferably in a medical or dental setting.
- Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Bilingual ability is a plus to assist diverse client needs; strong phone etiquette is essential.
- Experience with clerical tasks such as data entry, filing, proofreading, and record keeping.
- Familiarity with front desk procedures, multi-line phone systems, and customer service best practices.

In this multifaceted role, you will support orthodontic procedures, manage patient interactions at the front desk, and ensure smooth clinic operations. Responsibilities
- Assist orthodontists with chairside procedures, including handling dental instruments, managing orthodontic appliances, and supporting clinical workflows using advanced dental equipment such as 3D scanners and digital imaging systems.
- Prepare treatment areas by sterilizing and processing dental instruments following strict infection prevention management and aseptic techniques.
- Take and develop dental x-rays, ensuring adherence to radiation safety protocols and clinical confidentiality policies.
- Manage patient records accurately within electronic medical record (EMR) systems like Eaglesoft, Dentrix, or similar platforms while maintaining compliance with HIPAA regulations.
- Greet patients warmly, verify vital signs, update medical documentation, and assist with patient management software to streamline check-in/check-out processes.
- Support general dentistry and pediatric dentistry procedures by understanding dental terminology, oral surgery basics, endodontics, prosthodontics, and other specialties relevant to orthodontic care.
- Maintain a clean and organized clinical environment by following infection control standards and dental sterilization procedures to ensure safety for patients and staff alike.
Experience
- Previous experience working in a dental clinic setting is highly preferred, especially with orthodontic or pediatric dentistry.
- Familiarity with dental assisting techniques such as four-handed dentistry and chairside support is advantageous.
- Knowledge of medical terminology, medical imaging, and medical documentation will help ensure accurate recordkeeping.
- Proficiency in using patient management software like Dentrix or Eaglesoft is desirable for efficient workflow management.
- Strong understanding of healthcare infection prevention and control practices, including aseptic technique and dental sterilization procedures.
- Excellent communication skills combined with a professional demeanor to provide outstanding patient care while managing front desk responsibilities effectively.
