Office Manager Construction & Industrial Services
Position Summary
We are seeking an experienced, highly organized, and technology-driven Office Manager to oversee administrative operations across multiple business divisions. This position will lead a team of administrative professionals while supporting operational, financial, and executive functions throughout the organization.
This is a hands-on leadership role for someone who is proactive, solutions-oriented, and continuously looking for ways to improve processes, increase efficiency, and support business growth. The successful candidate will play a key role in supporting senior leadership, improving office operations, advancing paperless initiatives, and driving continuous improvement throughout the organization.
Key ResponsibilitiesAdministrative Leadership
- Lead, mentor, and develop a team of administrative professionals.
- Foster a positive, collaborative, and high-performance work environment.
- Assist with hiring, onboarding, training, and performance management.
- Establish and maintain administrative policies, procedures, and best practices.
- Ensure administrative functions are completed accurately and efficiently.
Operational Support
- Provide administrative and operational support to senior leadership.
- Coordinate communication and workflow between departments.
- Assist with project setup, tracking, and administrative support.
- Manage office priorities and ensure deadlines are met.
- Support organizational initiatives and special projects.
Process Improvement & Technology
- Identify opportunities to improve efficiency and streamline workflows.
- Lead initiatives focused on digitization and paperless processes.
- Evaluate and implement technology solutions that improve productivity.
- Create and maintain process documentation and training materials.
- Support continuous improvement efforts across the organization.
Document Control & Information Management
- Manage digital document systems and records.
- Maintain organized filing structures and document libraries.
- Support document retention and version control processes.
- Ensure company information is organized, accessible, and secure.
- Assist with the migration of paper-based processes into digital workflows.
Financial & Administrative Coordination
- Work closely with Accounts Receivable and Accounts Payable personnel.
- Support invoice management and administrative accounting processes.
- Assist with reporting, tracking, and documentation requirements.
- Coordinate administrative support for operational and financial activities.
Executive Support
- Anticipate leadership needs and proactively provide solutions.
- Prepare reports, presentations, meeting materials, and business correspondence.
- Track action items and assist with follow-up on key initiatives.
- Help remove administrative barriers that impact leadership effectiveness.
QualificationsRequired
- 5+ years of office administration experience.
- 2+ years of leadership or supervisory experience.
- Experience managing and developing administrative teams.
- Advanced proficiency in:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Teams
- SharePoint
- Strong organizational and project management skills.
- Excellent verbal and written communication skills.
- Exceptional problem-solving abilities.
- Ability to prioritize and manage multiple responsibilities simultaneously.
- Demonstrated ability to work independently and take initiative.
Preferred
- Experience in construction, industrial services, energy services, oil & gas, manufacturing, or related industries.
- Experience with ERP systems and business management software.
- Experience with document management systems and digital workflow platforms.
- Experience supporting executive leadership teams.
- Experience implementing process improvement initiatives.

Compensation: Competitive and based on experience.
