Job Overview
Coastal Neurological Institute is seeking a dependable, organized, and professional Administrative Assistant to support the day-to-day administrative needs of our medical practice. This position requires someone who is proactive, detail-oriented, comfortable managing multiple priorities, and able to communicate professionally with physicians, employees, patients, vendors, and outside organizations.
Key Responsibilities
- Provide administrative support to practice leadership and management
- Answer, screen, and direct telephone calls and correspondence
- Manage calendars, meetings, appointments, and administrative deadlines
- Prepare letters, memos, reports, spreadsheets, forms, and other documents
- Maintain organized electronic and paper files
- Assist with scanning, copying, faxing, filing, and document management
- Coordinate meetings and prepare materials as needed
- Assist with employee records, onboarding paperwork, training materials, and other HR administrative functions
- Maintain confidential employee, patient, provider, and business information
- Assist with provider credentialing and collection of required documentation
- Communicate with vendors and assist with supply and service requests
- Track outstanding administrative items and follow up to ensure completion
- Assist with ordering office supplies and maintaining appropriate inventory
- Help maintain departmental calendars, schedules, contact lists, and administrative trackers
- Assist with special projects assigned by administration
- Provide backup administrative support to other departments when necessary
- Maintain a professional and welcoming environment
- Perform other duties as assigned by practice leadership
Qualifications
- High school diploma or equivalent required
- Previous administrative or office experience preferred
- Healthcare or medical office experience is a plus
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information appropriately
- Strong attention to detail and follow-through
- Ability to prioritize multiple assignments in a fast-paced environment
- Comfortable working independently while also supporting a team
- Proficiency with Microsoft Word, Excel, Outlook, and general computer applications
- Ability to learn new software and administrative systems quickly

Position Type
Full-Time
Schedule: Monday–Friday 8am-8pm
Work Setting: In-person medical office
