Position Summary
Joseph Rose Plumbing is looking for a friendly, organized, and dependable Office Manager / Dispatcher to be an important part of our team. This is a fast-paced role where no two days are exactly alike! You’ll be the friendly voice customers hear, the organized problem-solver behind the scenes, and a key connection between our customers, technicians, and management.
The ideal candidate enjoys helping people, staying organized, and keeping things moving. You’ll help coordinate daily schedules, dispatch our plumbing technicians, manage office operations, and make sure our customers receive the professional and personable service that Joseph Rose Plumbing is known for.

Office Manager / Dispatcher — Job Responsibilities
- Manage the company office phone system, including answering and returning calls during business hours and monitoring/responding to calls after business hours as needed.
- Schedule and dispatch plumbing technicians based on service calls, emergencies, technician availability, location, and priority.
- Answer incoming calls, respond to customer inquiries, provide professional customer service, and schedule appointments.
- Monitor technician routes, schedules, and job status to maximize productivity and customer satisfaction.
- Communicate schedule changes, job updates, and customer needs to technicians, management, and customers.
- Maintain accurate customer records, work orders, invoices, estimates, and service history.
- Coordinate communication between customers, technicians, vendors, and management.
- Manage daily office operations, including filing, document organization, inventory tracking, and ordering office supplies.
- Process invoices and payments and assist with accounts receivable and accounts payable.
- Follow up on outstanding invoices and customer balances as needed.
- Prepare reports, track key performance metrics, and maintain accurate company records.
- Assist with payroll, employee scheduling, timekeeping, and onboarding paperwork as needed.
- Maintain organized technician schedules and ensure jobs are properly documented and closed out.
- Help monitor inventory, materials, and equipment needs and communicate shortages to management.
- Ensure compliance with company policies, procedures, and confidentiality requirements.
- Handle customer concerns professionally and escalate issues to management when appropriate.
- Assist management with administrative projects, process improvements, and day-to-day operational needs.
- Help identify opportunities to improve scheduling, dispatching, communication, customer service, and overall office efficiency.
- Maintain a professional, positive, and organized office environment.
Qualifications
- High school diploma or equivalent; associate degree or administrative certification preferred.
- 2+ years of office management, dispatching, or administrative experience, preferably in plumbing, HVAC, construction, or another service industry.
- Strong organizational and time-management skills.
- Excellent customer service and communication abilities.
- Proficiency with Microsoft Office and dispatch or service management software (such as ServiceTitan, Housecall Pro, or similar).
- Ability to prioritize multiple tasks and remain calm under pressure.
- Strong attention to detail and problem-solving skills.
Preferred Skills
- Experience coordinating field service technicians.
- Knowledge of plumbing terminology and service operations.
- Basic bookkeeping and accounting experience.
- Ability to analyze schedules and improve operational efficiency.
Work Environment
This position is primarily office-based and requires frequent communication with customers and field technicians by phone, email, and dispatch software. The role may occasionally require flexibility in scheduling to support emergency service calls or peak business periods.

A successful Office Manager / Dispatcher keeps the office organized, ensures technicians are efficiently scheduled, provides exceptional customer service, and helps the plumbing company operate smoothly and profitably.
Pay: $19.00 - $22.00 per hour
