Part-Time Scheduler / Care Coordinator
Homewatch CareGivers of Central Ohio is seeking a compassionate, organized, and customer-focused Scheduler / Care Coordinator to join our growing team. This position plays a vital role in ensuring our clients receive exceptional care by coordinating caregiver schedules, supporting client care needs, and serving as the communication hub between clients, families, caregivers, referral partners, and our office staff.

Responsibilities
Scheduling & Staffing
- Create and manage caregiver schedules to ensure uninterrupted client care.

Coordinate staffing for new client admissions, vacations, call-offs, illnesses, leaves of absence, and emergency coverage.

Fill open shifts while maintaining continuity of care.

Match caregivers with clients based on skills, availability, experience, and personality.

Communicate schedule changes with caregivers, clients, families, and office staff.

Monitor overtime, travel time, and staffing needs.

Review and approve caregiver timesheets and scheduling documentation.

Maintain accurate scheduling records in KanTime and other agency systems.

Participate in the agency's on-call rotation as assigned.
Client Coordination (As Needed)
- Assist with new client onboarding and service start-up.

Conduct client supervisory visits, quality assurance visits, and follow-up calls as needed.

Monitor client satisfaction and promptly address concerns or service issues.

Update client care plans to reflect changes in care needs, preferences, or services.

Communicate changes in client condition to the Administrator and care team.

Collaborate with clients, families, physicians, hospitals, case managers, and community partners to ensure continuity of care.

Assist with caregiver introductions and in-home orientation when appropriate.

Support emergency client situations and help coordinate timely solutions.

Help ensure exceptional client experiences through compassionate communication and proactive service.
Caregiver Support
- Build positive relationships with caregivers through ongoing communication.

Assist with caregiver onboarding and orientation.

Provide coaching and guidance regarding scheduling expectations and client service.

Monitor caregiver attendance and performance.
-
Support caregiver engagement, recognition, and retention efforts.
Administrative Support
- Maintain accurate documentation and ensure Electronic Visit Verification (EVV) compliance.

Answer incoming phone calls and provide outstanding customer service.

Assist with billing verification and service authorizations.

Support licensing surveys, audits, and agency compliance initiatives.

Complete administrative projects and other duties as assigned.
Qualifications
Required
- High school diploma or GED.

Minimum one year of experience in home care scheduling, healthcare coordination, or a related office environment.

Experience using Microsoft Office (Word, Excel, Outlook) and scheduling software.

Strong organizational, communication, and multitasking skills.

Ability to prioritize multiple responsibilities in a fast-paced environment.

Strong critical thinking and problem-solving skills.
-
Knowledge of Electronic Visit Verification (EVV).

Reliable transportation for occasional local travel.
Preferred
- Two or more years of home care scheduling or care coordination experience.

Experience with KanTime or similar home care software.

Knowledge of Medicaid, VA, and private-pay home care.

Basic medical terminology.
-
Experience working with seniors, individuals living with dementia, or clients with chronic medical conditions.

Physical Requirements
- Ability to sit, stand, walk, bend, and lift up to 25 pounds occasionally.
