We are seeking a dynamic and highly organized Primary Care Office Manager to lead the daily operations of our healthcare practice. This pivotal role combines administrative expertise with clinical management, ensuring seamless clinic functionality, exceptional patient care, and compliance with healthcare regulations. Responsibilities
Clinic Operations
- Oversees the daily operations of the Rural Health Clinic.
- Ensures efficient patient flow and scheduling.
- Maintains adequate staffing levels and daily coverage.
- Coordinates clinic opening and closing procedures.
- Maintains office equipment and supplies.
- Implements and monitors clinic policies and procedures.
- Resolves operational issues promptly.
Staff Leadership
- Supervises clinic support staff.
- Participates in recruitment, hiring, orientation, and training.
- Prepares employee schedules.
- Conducts performance evaluations.
- Coaches employees regarding performance expectations.
- Promotes teamwork and employee engagement.
- Ensures compliance with hospital policies.
Patient Experience
- Promotes outstanding customer service.
- Resolves patient concerns and complaints.
- Maintains patient confidentiality.
- Supports patient satisfaction initiatives.
- Ensures compliance with patient rights.
Revenue Cycle Management
- Oversees front-end revenue cycle functions.
- Monitors patient registration accuracy.
- Ensures insurance verification and authorization processes are completed.
- Monitors charge capture and documentation workflows.
- Assists with denial prevention initiatives.
- Reviews productivity and financial reports.
Financial Responsibilities
- Assists with annual budget preparation.
- Monitors departmental expenses.
- Manages office supply inventory.
- Identifies opportunities to improve operational efficiency and reduce costs.
Regulatory Compliance
- Maintains compliance with Rural Health Clinic regulations.
- Supports CMS, OSHA, HIPAA, CLIA, and accreditation requirements.
- Participates in survey readiness activities.
- Maintains required documentation and records.
- Assists with policy implementation and regulatory updates.
Quality Improvement
- Participates in Quality Assurance and Performance Improvement (QAPI) activities.
- Monitors clinic quality indicators.
- Supports preventive care initiatives.
- Assists with population health and chronic disease management programs.
- Participates in process improvement initiatives.
Provider Support
- Coordinates provider schedules.
- Supports provider onboarding.
- Assists with clinic workflow optimization.
- Serves as liaison between providers and hospital departments.
Communication
- Maintains effective communication with patients, providers, and staff.
- Facilitates staff meetings.
- Communicates organizational updates and policy changes.
- Promotes a positive and professional work environment.
Other Duties
- Participates in emergency preparedness activities.
- Serves on hospital committees as assigned.
- Performs additional duties as assigned.
- Ensures efficient patient flow and scheduling.

Qualifications
- Proven experience in medical office management or healthcare practice administration within a primary care or clinic setting.
- Strong supervisory background managing teams in healthcare environments; previous experience supervising nurses or clinical staff is highly desirable.
- Extensive knowledge of medical billing, coding and financial management within a healthcare context.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using EMR/EHR systems for patient records management.
- Familiarity with healthcare regulations including HIPAA compliance, JCAHO standards, managed care policies, and health regulation policies.
- Excellent managerial communication skills paired with customer service expertise to ensure positive patient interactions and staff collaboration.
- Ability to handle complex administrative tasks such as budgeting, medical administrative support functions, and managing healthcare staff effectively.
- Knowledge of medical terminology, medical records handling procedures, and electronic health record systems is essential.
- Prior experience in clinic operations or acute/hospital care environments is advantageous but not mandatory.
