We are seeking a highly organized, proactive, and patient-focused Medical Scheduling Coordinator to join our growing team. In this vital role, you will serve as the first point of contact for patients while coordinating appointments, supporting insurance and scheduling workflows, and helping ensure a positive patient experience from initial inquiry through treatment completion.
Position Summary
The Medical Scheduler / Front Desk Receptionist is responsible for managing patient scheduling, coordinating communication between patients, providers, and insurance teams, and supporting daily clinic operations. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced healthcare environment.
This position requires excellent customer service skills, strong organizational abilities, and the ability to manage multiple priorities while maintaining professionalism, accuracy, and confidentiality.
ResponsibilitiesPatient Scheduling & Coordination
- Schedule patient consultations, evaluations, and treatment appointments using the clinic's Electronic Medical Record (EMR) system.
- Coordinate scheduling between patients, providers, and clinical staff to optimize provider availability and clinic efficiency.
- Confirm appointments and communicate treatment instructions via phone, email, and patient messaging systems.
- Monitor appointment schedules and proactively address cancellations, reschedules, and scheduling conflicts.
Insurance & Administrative Support
- Verify insurance eligibility and benefits.
- Communicate effectively between patients, care coordinators, insurance teams, and providers regarding authorization and scheduling requirements.
- Assist with insurance-related documentation and administrative processes.
- Support billing and claims-related workflows as needed.
Patient Experience
- Greet patients and visitors in a friendly, professional manner.
- Answer incoming calls using a multi-line phone system.
- Respond to patient inquiries with empathy, professionalism, and discretion.
- Provide a welcoming and supportive experience for individuals seeking behavioral health treatment.
Records Management & Compliance
- Review patient documentation for completeness and accuracy.
- Maintain organized electronic and physical filing systems.
- Ensure compliance with HIPAA and all privacy regulations.
- Assist with medical records management and document collection.
QualificationsRequired
- Minimum 1 year of experience in medical scheduling, medical reception, healthcare administration, or a related healthcare office role.
- Experience working with EMR/EHR systems.
- Strong understanding of insurance verification processes.
- Excellent verbal and written communication skills.
- Strong computer proficiency, including:
- Google Workspace (Docs, Sheets, Gmail)
- Microsoft Office (Word, Excel, Outlook)
- Electronic Health Record systems
- Exceptional organizational and multitasking abilities.
- Ability to maintain confidentiality and comply with HIPAA regulations.
- Professional phone etiquette and customer service skills.
Preferred
- Behavioral health, psychiatry, psychology, TMS, or medical specialty clinic experience.
- Knowledge of medical terminology.
- Familiarity with CPT and ICD-10 coding.
- Experience with insurance authorizations and claims support.
- Experience with SimplePractice or similar healthcare practice management platforms.

Compensation
$20.00 – $22.00 per hour
