Job Overview
We are seeking a dynamic and detail-oriented Secretary / Accountant to join our team. This role combines administrative support with essential accounting functions, providing vital assistance to ensure smooth office operations and accurate financial management. The ideal candidate will be proactive, highly organized, and possess a strong foundation in accounting principles and software. You will play a key role in maintaining financial records, preparing reports, and supporting daily administrative tasks to keep our organization running efficiently and effectively.
Responsibilities
- Manage day-to-day bookkeeping activities, including data entry, journal entries, and account reconciliations using accounting software such as QuickBooks Online, Xero, Sage, or similar systems.
- Prepare and review financial statements, balance sheets, income statements, and cash flow reports in compliance with GAAP (Generally Accepted Accounting Principles).
- Process payroll accurately and timely, ensuring proper deductions and compliance with relevant regulations.
- Handle accounts payable and accounts receivable functions, including invoice processing, payment scheduling, and collections.
- Conduct bank reconciliations and general ledger accounting to ensure accuracy of financial data across all accounts.
- Maintain organized records of financial transactions using spreadsheets and accounting systems; perform account analysis for discrepancies or irregularities.
- Assist with budgeting activities, financial report writing, and supporting audits or external reviews as needed.
- Support administrative duties such as managing correspondence, scheduling appointments, maintaining filing systems, and handling 10-key typing tasks efficiently.
Experience
- Proven experience in accounting or bookkeeping roles within corporate or non-profit organizations.
- Strong proficiency with accounting software such as QuickBooks (including QuickBooks Online), Xero, Sage, or similar platforms.
- Demonstrated knowledge of financial concepts including double-entry bookkeeping, debits & credits, journal entries, account reconciliation, and general ledger management.
- Familiarity with payroll processing procedures and accounts payable/receivable management.
- Experience working with spreadsheets for data analysis and reporting purposes.
- Understanding of accounting standards (GAAP) and technical accounting practices is highly desirable.
- Bookkeeper experience is preferred; candidates should have a solid grasp of bank reconciliation processes and account analysis techniques.
- Ability to perform detailed account analysis, prepare accurate financial reports, and support budgeting processes effectively.
