Job Overview
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will bring strong organizational skills, excellent communication abilities, and a proactive approach to managing office functions. As an Office Manager, you will be the backbone of our administrative team, driving productivity and fostering a positive work environment.
Responsibilities
- Manage front desk operations, including greeting visitors, answering office phone, and providing exceptional customer service.
- Oversee clerical tasks such as data entry, filing, proofreading documents, and maintaining accurate records.
- Oversee and support all administrative duties in the office, ensuring smooth functionality
- Manage office-related accounting functions, including budget tracking, invoicing, expense management, account reconciliations, accounts payable and receivable, purchase order tracking, vendor statement review, petty cash oversight, payroll support, month-end close assistance, and basic financial reporting using accounting software such as QuickBooks, Sage, or Microsoft Dynamics.
- Assist with IT infrastructure and ensure the smooth operation of office technology.
- Assist with onboarding, employee relations, and HR tasks.
- Manage employee schedules, coordinate meetings and appointments, and handle travel arrangements.
- Manage office supplies inventory, place orders, and ensure adequate stock levels.
- Manage the office budget, process invoices, and track expenses.
- Plan and coordinate office events, such as team-building activities and celebrations.
- Supervise and mentor administrative staff, if applicable, to ensure productivity and efficiency.
- Ensure adherence to company policies, procedures, and regulatory standards.
Qualifications
- High School Diploma or equivalent (associate or bachelor’s degree preferred)
- Proven experience in office management, administrative coordination, or a related role.
- Experience supporting office operations, including scheduling, supply management, vendor coordination, and office technology.
- Familiarity with onboarding, employee relations support, and general HR administrative procedures.
- Strong ability to coordinate schedules, meetings, travel arrangements, and day-to-day administrative activities.
- Ability to manage office supplies, purchasing activities, and inventory control efficiently.
- Experience supporting budget administration, invoice processing, and expense tracking within an office environment.
- Experience coordinating office events, meetings, and team activities with strong attention to detail.
- Demonstrated ability to support and coordinate administrative staff to maintain productivity and efficiency.
- Knowledge of office policies, procedures, and regulatory compliance requirements.
- Proven ability to manage office-related accounting functions, including budget tracking, invoicing, expense management, reconciliations, accounts payable/receivable, purchase orders, vendor statement review, petty cash administration, payroll support, month-end close assistance, and basic financial reporting using QuickBooks, Sage, or Microsoft Dynamics.

Pay: $50,000.00 - $65,000.00 per year
