Position Summary
Heartland Center for Reproductive Medicine is a premier fertility practice dedicated to providing compassionate care and reproductive healthcare solutions. As our practice grows, we are looking for a proactive, highly organized, and detail-oriented Office Manager to support the daily administrative and operational functions of the practice.
This role includes performing various administrative tasks, coordinating facility operations, overseeing the employee lifecycle, managing credentialing processes, maintaining compliance, and executing additional duties as assigned. The ideal candidate will have prior medical office experience, strong communication and organizational skills, and the ability to effectively manage multiple priorities in a healthcare environment.
Key Responsibilities
Administrative & Operational Management
- Manage daily administrative operations
- Order office supplies, coordinate with vendors, and handle facility related services
- Manage scheduling and coordination of meetings, appointments, and events
- Assist with special projects and organizational initiatives
Employee Management
- Coordinate recruitment activities, including posting positions, scheduling interviews, and managing candidate communication
- Facilitate onboarding and conduct orientation for new employees
- Maintain employee personnel files and ensure accurate recordkeeping in accordance with organizational and regulatory requirements
- Assist with payroll coordination
- Support employee engagement initiatives, recognition activities, and staff communications
Credentialing & Compliance
- Oversee physician and ASC credentialing process by collecting, completing, and submitting necessary documentation in a timely manner
- Track provider licensure, certifications, renewals, and credentialing deadlines
- Communicate with insurance companies and healthcare facilities
- Maintain credential files and ensure accurate recordkeeping in accordance with organizational and regulatory requirements
- Assist with AAAHC accreditation preparation, reviews, and site visits
- Ensure compliance with medical, governmental, regulatory, ethical, HIPAA, OSHA, and organizational standards
- Maintain confidentiality and security of employee, patient, and organizational records
Qualifications
- High school diploma or equivalent; associate’s degree or higher preferred
- Medical office experience
- Experience with physician credentialing and healthcare compliance
- Proficiency in Microsoft Word, Excel, Outlook, and general computer systems
- Strong organizational skills with keen attention to detail
- Strong critical thinking and problem-solving capabilities
- Ability to communicate professionally and effectively with physicians, staff, patients, visitors, and external organizations
