Small, boutique law firm, seeking Front Desk Receptionist skilled in areas of plaintiff and business litigation. We have a supportive staff and a collegial work environment. This position will assist attorneys and legal staff in the daily operations of a legal firm.
Duties include:
- Client Greeting & Hospitality: Welcome clients and visitors in a warm, professional manner, ensuring they feel comfortable and informed upon arrival.
- Call Handling & Routing: Answer, screen, and forward incoming calls on a multi-line system with high accuracy, taking detailed messages when necessary for law firm and it’s tenants.
- Administrative Support: Maintain client files (physical and digital), scan/copy documents, and prepare conference rooms for meetings.
- Office Management: Ensure the lobby and conference rooms are clean and orderly; manage inventory and order office supplies.
- Confidentiality Compliance: Maintain strict client confidentiality and adhere to all data privacy protocols
Responsibilities
- Answering multi-line phones
- Support attorneys and legal staff (paralegal and legal assistant) by preparing, client files, correspondence, and medical records with precision and attention to detail.
- Manage case files through efficient filing systems, both electronically and physically, ensuring easy retrieval and organization.
- Assist with administrative duties such as scheduling appointments and coordinating meetings, and assist in managing calendars for legal staff.
- Provide excellent customer service by responding promptly to client inquiries and maintaining professional communication at all times.
Required Skills and Qualifications
- Experience: 1–3 years of experience in a receptionist or administrative role, preferably in a law firm or professional services environment.
- Communication: Exceptional verbal and written communication skills, with the ability to build rapport with clients experiencing stress.
- Technical Proficiency: Strong computer skills, including Microsoft Office (Word, Excel, Outlook), and experience with or ability to learn Clio, a Legal Practice Management software program.
- Organization: Proven ability to multitask, prioritize urgent tasks, and maintain attention to detail in a fast-paced environment.
- Education: High school diploma or GED required; associate degree or legal secretary certification is preferred.
