Automotive Office & Titling Administrator (Part-Time)

About the role
Chicago Autoplex Inc. has been in business for nearly 3 decades and is expanding our Indiana retail presence. Operating just outside Reynolds, IN, we are looking for an experienced clerical professional to run our office.
If you've done title and registration work, or come from a government or institutional clerical background - a county clerk's office, courthouse, BMV/DMV, title company, bank, insurance office, or law office - this role will feel familiar; accuracy, clean records, and following a process exactly. We're looking for someone who brings that discipline to our office from day one.
Your work is titles, paperwork, recordkeeping, and keeping the office running clean and compliant.
Part-time to start, with potential to grow into full-time as the dealership grows.
Schedule
- Monday - Wednesday, 8:00 AM – 3:00 PM (in office)
- Thursday - Saturday by appointment
- ~20 hours/week to start
What you'll do
- Prepare and complete sales and title paperwork - bills of sale, odometer disclosures, title applications, and tax forms
- Process title transfers and submit to the Indiana BMV; track each title to completion and resolve anything missing (out-of-state titles, lien releases, signatures)
- Issue temporary plates and interim registrations, and keep the temp-tag log current
- Collect and record sales tax; assemble a complete, audit-ready deal jacket for every sale
- Log incoming vehicles (VIN, title, purchase documents) and maintain a title file for each unit in stock
- Maintain organized digital and physical records that meet Indiana dealer recordkeeping requirements
- Handle daily deposits, basic expense/vendor logging, phones, scheduling, and general office upkeep
What we're looking for
- Prior title, registration, or DMV/BMV paperwork experience, or government/institutional clerical work (clerk's office, courthouse, records department, title company, bank, insurance, or legal office)
- A proven track record of accuracy with sensitive documents
- Attention to detail, ability to work without supervision and excellent communication
- Comfortable being trusted with keys, records, and money
- Solid computer skills for data entry, email, and office software
- Comfortable scheduling customers Thu - Sat
- Professional, courteous and good customer service skills
- Valid driver's license
- Local to the White County / Reynolds area preferred
The first few months
This is a new office, so early on you'll help build the systems you'll run - setting up title and deal files, standing up our recordkeeping, and getting the inventory system in order. Volume starts light and grows steadily; you'll build the foundation that keeps everything clean as we scale. We'll train you on our specific tools, but you bring the clerical and title foundation.
