Position Summary
The Program & Operations Coordinator is responsible for supporting program delivery and day-to-day administrative operations. This role focuses on coordination, organization, and execution to ensure programs run smoothly and efficiently.
The position includes 5 to 8 hours per week of onsite small-group program facilitation, with the remaining time dedicated to administrative support, program coordination.
This role is ideal for someone early in their nonprofit career who is highly organized, dependable, and eager to grow.
Key Responsibilities
Program Support & Delivery
- Facilitate onsite small-group programs (5 hours per week) in Las Vegas
- Assist with program setup, scheduling, and participant communication
- Track attendance and basic program data
- Support consistent and positive participant experiences
- Support program growth and development
- Ensure training aligns with trauma-informed practices and organization mission
- Schedule trainers for Spirit program with pre-approved trainers
Administrative & Operational Support (Primary Focus)
- Maintain accurate records, databases, and program documentation
- Coordinate calendars, meetings, and internal communications
- Assist with day-to-day office and organizational needs
- Help ensure smooth internal workflows and organization
- Help co-facilitate presentations as needed
Grants & Reporting Support
- Assist with tracking grant details ie: number of days we provided, number of hygiene packs we handed out, number of people we provided education training (Tracking in current spreadsheet or Grant tracking software) This is for reporting only
- Support preparation of basic reports and documentation to help turn the numbers into visual reporting for presentations.
Community Engagement Support
- Assist with outreach and communication with community partners to help grow programs
- Support events and community activities as needed for working table or co-presentations.
Qualifications
- 1 to 2 years of experience in administrative support, nonprofit work, or program coordination
- Strong organizational and time management skills
- Ability to manage multiple tasks and meet deadlines
- Strong written and verbal communication skills
- Proficiency in Microsoft Office or Google Workspace
Preferred Qualifications
- Interest in nonprofit or community-based work
- Experience working with groups, youth, or community programs
- Familiarity with basic data tracking or administrative systems
Work Schedule
- Full-Time (40 hours per week)
Typical Weekly Breakdown:
- 5-8 hours: Onsite program facilitation
- 32- 35 hours: Administrative support, tracking numbers, putting together slides for reporting
