REQUIREMENTS: Bachelor’s degree in marketing, sales, communication or equivalent combination of related education and experience required. Two-years of job-related recruitment, project and/or event management experience preferred
NATURE AND SCOPE: The Erie Mobile Drive Coordinator reports to the Recruitment Manager. The Mobile Drive Coordinator is responsible for the development, planning and promotion of blood donor recruitment activities with an assigned territory. Responsible for educating and communicating with the public about the need for blood, the local blood program and blood donation. Develops and maintains contact with volunteers to encourage their participation.
PRINCIPAL ACCOUNTABILITIES:
1. Acts as a liaison between the community and Community Blood Bank. Represents CBB in local media and community networking groups, e.g. Chamber of Commerce, and makes presentations to local groups. Coordinates with CBB for additional resources and speakers.
2. Educates existing and potential donor groups as to the blood needs of the community.
3. Ensures achievement of assigned collection goals.
4. Utilizes appropriate computer software to maintain past, present and future blood drive information, including the creation of schedules, the storage of drive logistics and contact information.
5. Utilizes appropriate computer software to look up donors and donor chairs to answer questions about eligibility, scheduling, point accumulations or technical questions.
6. Recruits new donor groups within the service region through written correspondence and personal contact.
7. Maintains current contact information in E-Trip Sheets for each group, drive histories, and records of materials requested, for easy access in the event the MDC is unavailable for an extended period.
8. Schedules corporate, community group and school mobile blood drives at sites within the service area following the established. Quality standards with respect to location, space and other requirements, and in coordination with CBB donor collections and laboratory technical staff.
9. Compiles and distributes a monthly calendar schedule listing of mobile blood drives to appropriate staff, with proper revision dates.
10. Develops a “trip sheet” for each blood drive, to outline drive location, date, time and street address, projected number of donors, accurate driving directions and accurate unloading/loading and parking instructions for on-site donor collections and courier staff. Includes updated lists of promotions or events that may be going on that day. Distributes to necessary staff and departments according to the established timeline. Monitors each sheet for changes, and updates regularly.
11. Maintains updated work progress forms and regularly meets, either in person or via phone, to share with Recruitment Manager.
12. Attends, either in person or via phone, regularly scheduled inter-departmental Calendar Management Meetings to discuss upcoming blood drive projections and special circumstances, inventory, promotion and media needs. May be asked to make changes to calendar to accommodate other needs and requests.
13. Under direction from the Recruitment Manager and with assistance from the Communications & Marketing Coordinator, customizes and distributes materials and messaging to promote blood drives, educate and recruit donors, and reinforce CBB’s mission in the assigned territory.
14. If groups become too small to hold drives on-site, convert them to Gr8 Givers Program at Erie Donor Center. Oversee Gr8 Givers program at Erie Donor Center for drives converted.
15. A close working relationship with each blood drive’s team leader (or designee) is necessary; direct communication prior to, during and following each drive may be necessary in the event the coordinator is not in attendance the day of the drive. The two roles should work to meet each other’s expectations for successful events.
16. Creates and distributes blood drive yard signs in surrounding territory.
17. May assist in presentations at events and ceremonies.
18. Attends conferences in donor recruitment as available.
19. Assists in developing new CBB promotional ideas.
20. With Recruitment Manager, develops strategies to support Recruitment and Strategic initiatives, and meet any related goal.
21. Performs other related duties as assigned by the Executive Director or as may be required to meet emergency situations.
