The Law Office of Stephanie F. Dominguez is a growing virtual law firm that provides advice and representation to federal government employees and labor unions nationwide, as well as individuals in non-federal employment law, family law, and juvenile dependency and delinquency matters.
Our cases include employment discrimination (including harassment and retaliation), workers’ compensation, unfair labor practices, and family law and juvenile matters. POSITION SUMMARY
This is a hybrid Legal Intake Specialist / Paralegal position.
Approximately 70%–90% of the role involves client intake, consultations, lead management, prospective-client follow-up, and retainer conversion.
The remaining portion involves providing litigation-paralegal support and coverage as needed.
This position is fully remote and open to candidates located anywhere within the United States.
To allow for training, integration, and gradual assumption of responsibilities, the position will initially begin on a reduced-hours schedule before transitioning to full-time status.
REQUIRED QUALIFICATIONS
- Minimum three (3) years of paralegal experience
- Minimum three (3) years of legal intake experience, including conducting initial consultations, prospective-client follow-up, and lead conversion
- Demonstrated ability to independently manage prospective clients from intake through retainment or non-engagement
- Strong sales, communication, and client-service skills
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Ability to work independently in a remote environment
- Demonstrated history of employment stability and reliability
PREFERRED QUALIFICATIONS
- Paralegal certificate
- Family law and/or employment law experience
- Experience with legal practice-management software (MyCase preferred)
- Experience with billable time entries (e.g., clear, accurate, contemporaneous entries; no block billing)
- Experience converting qualified leads into retained clients
- Prior remote-work experience
KEY RESPONSIBILITIES
Client Intake & Lead Management
- Answer and respond to inbound calls, texts, emails, and voicemails
- Conduct initial consultations and client screenings
- Assess fit for representation
- Explain fees, scope of services, and firm procedures
- Schedule consultations and maintain the intake pipeline
- Address prospective-client questions, concerns, and objections
- Follow up with prospective clients and drive timely conversion
- Secure signed retainers and initial deposits
- Prepare and send non-engagement communications when appropriate
Paralegal & Litigation Support
- Conduct legal research
- Draft pleadings, correspondence, and other legal documents
- Assist with discovery, mediations, hearings, and trial preparation
- Schedule depositions, meetings, and conferences
- Organize and maintain client files and case documentation
- Provide coverage for litigation-paralegal functions as needed
Operations & Administrative Support
- Handle outbound mail, faxing, and delivery tracking
- Assist with intake-system improvements and workflow optimization
- Support administration of the firm's phone and intake platforms
- Participate in staff meetings and training
- Provide cross-coverage and operational support as needed to ensure seamless service to prospective and existing clients.

The reduced-hours onboarding period is intended to allow training, integration, and gradual assumption of responsibilities and is expected to transition to full-time status within the first four months.
Core business hours are generally 8:30 a.m. to 5:30 p.m. Pacific Time, Monday through Friday, though flexibility may be required.
