Position Summary
We are looking for a friendly, organized, and service-oriented professional to join our team as our Client Services & Reception Coordinator. This role serves as the first point of contact for clients while also providing administrative and operational support to our advisors and office staff.
The ideal candidate enjoys interacting with people, thrives in a fast-paced office environment, has exceptional attention to detail, and takes pride in creating an outstanding client experience.
Primary Responsibilities:
Reception & Client Experience
- Welcome clients and visitors, ensuring a warm, professional first impression.
- Answer and direct incoming phone calls with professionalism and efficiency.
- Prepare conference rooms for client meetings, including beverages and meeting materials.
- Maintain a clean, organized, and welcoming reception area.
- Schedule, confirm, and coordinate client appointments.
- Assist with outgoing mail, incoming deliveries, and office correspondence.
- Maintain office supplies and hospitality inventory.
Administrative & Advisor Support
- Enter and maintain accurate client information within the CRM system.
- Assist advisors with routine client service requests and administrative paperwork.
- Prepare meeting packets and supporting documents for client review meetings.
- Generate reports using financial planning and portfolio management software.
- Process basic account maintenance requests and follow established procedures.
- Communicate with our broker-dealer and custodians regarding service requests.
- Support office projects and administrative initiatives as needed.
- Assist with special events, client appreciation events, and other office activities.

Qualifications
Required
- High school diploma or equivalent
- Excellent customer service and communication skills
- Strong organizational and time management abilities
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Ability to learn new technology and software quickly
- Ability to pass employment, FBI, BCI, and fingerprint background checks
Preferred
- Experience working in a professional office environment
- Experience in financial services, banking, insurance, or other professional services is a plus
- Familiarity with CRM software (Redtail experience is a plus)

Pay: $21.50 - $22.00 per hour
