We’re looking for an organized, level-headed Service Coordinator to keep our service operations running smoothly. This role is the main connection between our customers, service technicians, and parts suppliers—making sure appointments are scheduled efficiently, technicians have what they need, and customers are kept informed from start to finish.
No two days will look exactly the same. You may be planning technician routes, tracking down a delayed part, adjusting the schedule when a job runs longer than expected, or helping a frustrated customer understand next steps. The right person enjoys solving problems, can manage a lot of moving pieces, and stays calm and professional when plans change.
- Be the primary point of contact for customers with service needs, from the initial call through completion.
- Schedule and route service technicians based on location, appointment windows, technician skill set, and drive time.
- Adjust schedules throughout the day when jobs run long, technicians call off, emergencies come up, or priorities change.
- Order and track parts needed for service appointments and follow up on outstanding or backordered items.
- Make sure technicians have the correct parts and information needed before arriving at a job.
- Keep customers updated on appointment timing, delays, parts, and the overall status of their service.
- Handle frustrated customers with patience and professionalism while working toward a solution.
- Maintain accurate records of service calls, parts orders, scheduling updates, and customer communication.
- Work closely with the Production team to identify recurring service issues and opportunities to improve our processes.
- Previous experience in service coordination, dispatching, scheduling, logistics, or a customer-facing role is preferred.
- Strong organizational skills and the ability to manage multiple priorities at the same time.
- Ability to look at a service area and build efficient technician routes.
- Strong verbal and written communication skills.
- Ability to stay calm, professional, and solution-focused when working with frustrated customers.
- Comfortable using Microsoft Office, including Outlook, Excel, and Word.
- Ability to learn scheduling, CRM, or field-service software.
