The Scheduling and Operations Coordinator is responsible for coordinating interpreter assignments to ensure timely, efficient, and high-quality language services. This position serves as the primary point of contact for scheduling requests and collaborates with clients, language professionals, and internal staff to ensure seamless service delivery. The role also supports recruiting and onboarding activities to maintain a qualified provider network.
- Coordinate and schedule interpreters for onsite, video remote, and telephonic assignments per client requirements.
- Match assignments with qualified language professionals based on language proficiency, credentials, location, availability, and client requirements.
- Manage schedule changes, cancellations, and urgent requests while ensuring continuous service coverage.
- Maintain accurate scheduling records and assignment data within agency systems.
- Communicate assignment details, updates, and changes to interpreters, clients, and internal stakeholders in a timely manner.
- Monitor daily schedules to support successful completion of appointments and services.
- Assist with tracking completed assignments for payroll and billing purposes.
- Develop and maintain positive working relationships with clients and language professionals.
- Assist with recruiting independent contract interpreters to meet service needs.
- Complete initial screening of applicants and assist with documentation collection for onboarding.
- Verify interpreter certifications, credentials, and other records to ensure compliance.
- Coordinate onboarding activities and maintain accurate provider records.
- Support retention efforts through ongoing communication and engagement.
- High school diploma or equivalent required; advanced degree preferred.
- One to three years of experience in scheduling, coordination, customer service, administrative support, staffing, or related field.
- Strong organizational, time management, communication and prioritization skills with the ability to manage multiple tasks effectively.
- Strong customer service and relationship-building abilities.
- Proficiency in Microsoft Office and scheduling/database systems.
- Strong problem-solving skills and attention to detail.
- Ability to adapt to changing priorities and respond effectively to urgent requests.
- Experience in language services, healthcare scheduling, workforce coordination, or staffing environments preferred.
- Bilingual or multilingual language skills preferred.
