Convent & Stuart Hall is seeking a full-time enthusiastic, organized, and detail-oriented High School Assistant Admissions Director to join our team.
This individual will support the admissions process for prospective families applying to the high school (typically grades 9-12), ensuring a welcoming and engaging experience from inquiry to enrollment.
This K-12 independent school community is under the direction of the President. Convent Elementary School serves K-8 girls, Stuart Hall for Boys serves K-8 boys, Convent High School serves 9-12 girls and Stuart Hall High School serves 9-12 boys.
The ideal candidate will support the administrative process with high school prospective applicants; have exemplary organizational and communications skills; and show resourcefulness, creativity, flexibility, resilience and good humor.
The candidate will support a detail oriented admissions program with a team of professionals who must plan, adapt and execute a highly personalized experience for prospective families. Other responsibilities include the management of application materials; ensuring on-time and thorough processing in our management system; supporting the design and implementation of our admissions events; and providing support for families through their application process- all while maintaining a high level of professionalism and the utmost confidentiality.

Specific Duties and Areas of Expertise Include:
Admissions Process & Family Engagement

Serve as a point of contact for primarily prospective high school families; respond to phone, email, and in-person inquiries in a timely and professional manner.

Coordinate the application process including scheduling tours, interviews, assessments, and follow-up communications.

Organize and participate in admissions events such as middle school visits, open houses, campus tours, information sessions, and other related events.

Maintain accurate applicant records in the admissions database
- Guide families through the admissions timeline and support them in completing application requirements.
Collaboration & Communication

Collaborate closely with the Director of Admissions & Academic Guidance, the high school admissions team, faculty, and school leadership to ensure an effective and mission-aligned evaluation of applicants.

Communicate clearly and empathetically with internal stakeholders and prospective families to promote an inclusive and welcoming school culture.
Prepare highly confidential applicant files for review and assist in coordinating admissions committee meetings

Marketing & Outreach

Must be well-versed in the school’s mission, and its distinctive culture and curriculum.
- Assist with the creation and distribution of marketing materials tailored to prospective high school families.

Support all admission events at the school.

Support the tracking and analyzing of admissions data to support strategic planning and improve recruitment and retention.
Administrative Support

Maintain confidentiality of student records and sensitive information.

Provide general administrative support to the Admissions Office, including calendar management, event logistics, and document preparation.

Support other admissions-related projects as assigned by the Director of Admissions & Academic Guidance.
Qualifications & Qualities:
-
Bachelor’s degree preferred.
-
Minimum of 3 years of experience in admissions, education, or organizational event planning, or related fields (preferably in a school).

Strong interpersonal and communication skills, both written and verbal.

High level of organization, attention to detail, and ability to manage multiple tasks simultaneously.

Warm, welcoming demeanor with a deep appreciation for working with families of various structures and backgrounds.

Ability to master admissions database systems .

Availability to work early mornings, evenings and weekends for events.

Passion for education and belief in our schools mission

Familiarity with the independent or private school landscape.

Bilingual or multilingual abilities are a plus.

Perform other duties as assigned by and in support of, Director of Admissions & Academic Guidance.
