Job Summary
The Administrative Assistant supports a high-producing Loan Officer by managing their daily schedule, email, and workflow to keep appointments, calls, and priorities on track. This role also provides concierge and marketing support. Additionally, the Administrative Assistant helps with office operations. Ideal candidates are detail-oriented, proactive, and comfortable in a fast-paced mortgage office.
Key Responsibilities :
Manage Loan Officer Schedule & Email
- Keep the Loan Officer on track for all appointments and calls.
- Maintain a structured, full calendar for the Loan Officer.
- Confirm all appointments.
- Daily check-in with LO.
- Oversee the Loan Officer's email.
- Coordinate and manage all Loan Officer travel, accommodation, and itinerary planning.
- Support the Loan Officer throughout the day to ensure a consistent, productive workflow
Concierge & Marketing Support
- Plan and execute monthly events
- Manage Realtor and Referral Partner Birthday Program
- Prepare & execute weekly agent email.
- Realtor appointment preparation.
- Execute new realtor or business partner follow-up.
- Provide realtor concierge support
- Update Accounts Pyramid monthly and update tags in CRM for pipeline tracking and marketing automation.
- Oversee social media accounts: daily engagement, content scheduling, and partner interaction.
- Create and distribute marketing materials for events, agents, and community outreach.
- Assist with video content and branding initiatives for the team.
- Prepare appointment folders for new business partners, pre-approvals, and disclosure appointments.
Office Operations Support
- Greet guests warmly and professionally; prepare welcome signage and hospitality.
- Ensure office readiness: maintain inventory, order supplies, and manage mailing logistics.
- Refresh conference rooms after each meeting to ensure a clean and professional environment.
- Organize and execute team celebrations & outings.
