Position Title: Staff Accountant
Location: Hybrid: office and home. Office address: 14 Maine Street, Suite 100, Brunswick, ME 04011
Pay: $70,000 - $80,000
Position Overview: The Staff Accountant at Volunteers of America Northern New England (VOANNE) plays a crucial role in maintaining financial procedures and ensuring compliance through the preparation of accurate financial reports and statements. This position supports the financial health and sustainability of VOANNE, contributing to our mission of providing essential services to those in need across Northern New England.
Essential Job Functions:
Financial Reporting and Analysis:
- Prepare monthly, quarterly, and annual financial statements in accordance with GAAP.
- Assist in preparing financial reports for grantors, donors, and other external stakeholders.
- Analyze financial data and create variance reports to support decision-making.
General Ledger Maintenance:
- Maintain and reconcile general ledger accounts.
- Post journal entries with proper documentation in organizational software and independently confirm accuracy.
- Perform month-end and year-end closing activities.
Accounts Payable and Receivable:
- Confirm and at times, process accounts payable and receivable transactions promptly and accurately to ensure compliance with contract agreements.
- Monitor and follow up on outstanding receivables for each program in purview. This includes rent and subsidy payments, invoices for temporary funding reimbursement requests, and security deposit payments.
- Ensure proper recording of vendor invoices to expense, asset, or prepaid accounts.
Budgeting and Forecasting:
- Monitor budget variances and report significant issues to management.
- Support program managers in budget preparation and management.
Compliance and Audit:
- Ensure compliance with all federal, state, and local regulations.
- Assist with internal, external, and third-party payer audits. Includes preparation of audit schedules and response to auditor inquiries.
Grant Management:
- Track and report on restricted and unrestricted funds for programs in purview.
- Ensure compliance with grant requirements from signed MOUs.
- Prepare financial reports for grant proposals and final reports for grantors as needed.
Mission-Driven Engagement:
- Collaborate with program staff to align financial practices with VOANNE’s mission and goals.
- Participate in mission-focused initiatives and events as needed.
- Foster a culture of transparency and accountability in financial operations.
Other Duties:
- Provide support for the Controller and other team members as needed.
- Participate in special projects and perform other related duties as assigned in relation to programs in purview.
- Continuously seek to improve processes and contribute to the finance department's efficiency.
- Provide backup support to another Staff Accountant and Finance Specialist: Accounts Payable in the organization for out of office coverage.
Education, Experience, and Qualifications:
- Bachelor's degree in accounting, finance, or related field preferred.
- Minimum of 2-3 years of accounting experience, preferably in a nonprofit setting.
- Proficiency in accounting software and Microsoft Excel.
- Strong understanding of GAAP and nonprofit accounting principles.
- Excellent analytical, organizational, and problem-solving skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Strong communication and interpersonal skills.
