We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression for everyone who walks through the door
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy
- Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and spreadsheets
- Maintain organized filing systems and perform clerical duties including proofreading, document preparation, and record keeping
- Support appointment scheduling and calendar management for staff or medical/dental professionals as needed
- Assist with office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and coordinating office logistics
- Provide excellent customer support by addressing inquiries promptly and maintaining clear client communication
Qualifications
- Proven experience in office management or administrative roles, preferably in a front desk or reception capacity
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry software
- Excellent phone communication skills with knowledge of multi-line phone systems and phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Experience with clerical tasks such as filing, proofreading, and document processing
- Familiarity with office equipment including printers, scanners, and basic technical troubleshooting tools
- Previous experience in customer service or client communication roles is preferred
- Must be available Sunday - Thursday 7am - 3pm
