Job Summary
We are seeking an organized, proactive, and experienced Tenant & Property Operations Coordinator to oversee the day-to-day operations of a residential property portfolio while serving as a key liaison between tenants, superintendents, and management.
Duties
- Manage tenant communications, inquiries, and service requests promptly via phone, email, and in person, ensuring high levels of customer satisfaction.
- Utilize property management software to enter data accurately, track lease details, rent payments, and maintenance requests.
- Coordinate property maintenance activities by liaising with vendors, scheduling repairs, and monitoring service quality to uphold property standards.
- Conduct conflict management by mediating tenant disputes professionally and diplomatically while adhering to legal guidelines.
- Perform data entry tasks related to rent collections, occupancy status updates, and maintenance logs using CMMS (Computerized Maintenance Management System) tools.
- Coordinate apartment turnovers, move-ins, and move-outs.
- Maintain accurate tenant, property, and operational records.
- Assist with scheduling, follow-up, and coordination of property-related projects and tasks.
- Support the overall efficiency of property operations across multiple locations.
Skills
- Excellent customer service skills with the ability to handle sensitive situations with professionalism and empathy.
- Experience in lease or rental agreement management along with contracts negotiation skills.
- Background in real estate administrative support or property management company experience is highly desirable.
- Knowledge of property maintenance procedures and facilities management practices.
- Strong conflict management abilities paired with effective negotiation skills to resolve issues amicably.
- Office experience including data entry, filing systems, phone etiquette, and administrative tasks such as document preparation and record keeping.
- Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
Qualifications:
Previous experience in property operations, property management, or a related field preferred.
Experience supervising superintendents and building staff.
Basic knowledge of housing assistance programs (such as Section 8, CityFHEPS, FHEPS, HASA, etc.) preferred, as many of our tenants participate in these programs.
Strong communication, customer service, organizational, and problem-solving skills.
Valid driver's license required.
Ability to travel between properties as needed.
Spanish-speaking preferred.
Proficiency in Microsoft Office and property management software is a plus.
