Position Overview:
We are seeking an organized and proactive Warehouse Coordinator to join our team. This role supports daily warehouse operations and serves as a vital communication hub between Customer Service, Planning, Shipping, Receiving, Quality Control, and Production. The ideal candidate will be experienced in managing documentation, planning shipments, handling cross-departmental requests, and coordinating logistics to ensure timely and accurate inbound and outbound operations.
Key Responsibilities:
Customer Service & Planning Support:
- Manage Customer Service Documentation Requests (CSRs) including packing slips, manufacturing orders, inspection sheets, picking tickets, and tracking information.
- Production Planner requests including bulk shipments, hot orders, shipping methods, drop-in orders, and order revisions.
- Support management with escalations, order updates, production plan changes, and supply revision requests.
- Separate, organize, and invoice manufacturing orders by ship date, customer, and shipping method.
Shipping & Receiving Coordination:
- Schedule trucks and coordinate with drivers for outbound shipments.
- Communicate outbound order destinations with shippers and logistics partners.
- Prepare and drop customer POs and bulk orders into the system.
- Coordinate with Receiving/Shipping teams in the absence of the warehouse supervisor.
- Collaborate with processing lead to address and resolve documentation errors.
- Prepare and verify shipping documentation (e.g., packing lists, shipping labels, bills of lading) for accuracy.
Invoicing and Documentation:
- Create and process Bills of Lading (BOLs) and shipping documents.
- Complete tracking and delivery documentation.
- Initiate and manage the start of the invoice process, including KS, COs, POs, bulk, and WEO documentation.
- Assist in end-of-day reconciliation and preparation for next-day and end-of-week shipments.
Administrative & System Support:
- Maintain and update the shipping and production plan.
- Send weekly emails of POs that need scheduling.
- Prepare and organize end-of-day shipping documentation.
- Place and track supply orders to ensure warehouse needs are met.
Key skills & Qualifications:
- Proficient in Microsoft Excel, Outlook, and Word.
- Previous experience using an MRP/ERP system (Infor M3 highly preferred).
- Strong communication and organizational skills.
- Ability to multitask and manage cross-departmental requests efficiently.
- Comfortable working in a fast-paced environment with shifting priorities.
- Perform any other duties as assigned by the Warehouse Supervisor or Production Manager.
- High school diploma or equivalent; a degree in logistics, supply chain management, or a related field is a plus.
- Proven experience in warehouse operations or logistics
- Strong organizational and multitasking skills.
- Basic understanding of inventory management and warehouse management systems (WMS).
- Strong Data entry skills
- Knowledge of safety regulations and procedures within a warehouse setting.
- Type 50 WPM
Physical Requirements:
- Ability to stand, walk, and move for extended periods.
- Ability to lift up to 50 pounds regularly.
- Ability to work in a fast-paced and physically demanding environment.
- Must have Safety-Toe Footwear.
Preferred Skills:
- Knowledge of shipping carriers and freight scheduling.
- Experience with document control and invoice generation.
- Familiarity with quality control documentation such as PPAPs and kit tracking.
