Position Summary
The Kids Program & Volunteer Coordinator is responsible for the day-to-day coordination of HOPE’s children’s program, from recruiting and enrolling children through the delivery of a safe, well-run, and enriching experience. The Coordinator serves as a visible representative of HOPE in the community, builds and supports a strong volunteer team, ensures the program meets all licensing and regulatory requirements, and monitors program staff to uphold HOPE’s standards of quality and care. This role is central to HOPE’s mission of giving under-served children a safe place to explore their talents, learn new skills, and succeed.
Key Responsibilities
Recruitment & Enrollment
Recruit children into the program through outreach to families, schools, and community partners.
Manage the enrollment process, including applications, registration, required paperwork, and maintenance of accurate, confidential participant records.
Maintain enrollment and, where applicable, waiting lists, keeping families informed as space becomes available.
Community Presence & Outreach
Represent HOPE at community events, fairs, and partner gatherings to promote the program and build relationships.
Serve as a welcoming, professional point of contact for families, community members, and partner organizations.
Support HOPE’s outreach and communications efforts as they relate to the children’s program.
Volunteer Coordination
Recruit, orient, schedule, and support volunteers working within the children’s program.
Provide volunteers with clear expectations, guidance, and day-to-day direction, ensuring a positive and productive experience.
Ensure volunteers meet all screening, background-check, and training requirements before working with children.
Licensing & Compliance
Ensure the program meets and maintains all applicable licensing and regulatory requirements [e.g., Massachusetts EEC / Board of Health / other applicable standards].
Maintain current records, permits, certifications, and documentation required for licensing and program operation.
Prepare for and support licensing visits, reviews, and any resulting corrective actions.
Uphold health, safety, and sanitation standards throughout program operations.
Staff Monitoring & Program Quality
Monitor program staff to ensure adherence to HOPE’s policies, procedures, and standards of care.
Provide day-to-day guidance and support to staff, and help coordinate schedules and coverage.
Observe program activities and support ongoing quality, safety, and continuous improvement.
Communicate staffing or program concerns to the [Executive Director / CEO] promptly.
Schedule
This is a year-round position with a seasonal schedule. During the school year, the position is 30 hours per week. During the six (6) weeks of summer camp, the position increases to 40 hours per week to support expanded programming. Some evening or weekend hours may be required for community events. School year hours are 12-6 m-f and summer 8-4 m-f
Qualifications
Required
Experience working with children in an education, childcare, camp, or youth-program setting.
Strong organizational skills and the ability to manage enrollment, records, and compliance details accurately.
Excellent interpersonal and communication skills for working with children, families, staff, volunteers, and community partners.
Ability to represent HOPE professionally and warmly in the community.
Must pass all required background checks (including [CORI/SORI] as applicable) and meet health requirements.
Licensed by EEC previously is preferred
Preferred
Familiarity with Massachusetts childcare/program licensing requirements [e.g., EEC standards].
Experience recruiting, coordinating, or supervising volunteers or staff.
Bilingual (English/Spanish) a plus.
[First Aid/CPR certification, or willingness to obtain.]
Working Conditions
Work is performed in a program facility and at community locations. The role involves active engagement with children, including standing, moving about the program space, and occasionally lifting or carrying materials.
