Administrative Assistant – Procurement and Contract Compliance
Bove Industries is seeking an organized, dependable, and detail-oriented Administrative Assistant to support our corporate office with purchase order administration, subcontractor approvals, and other contract compliance-related tasks.
This is an excellent entry-level opportunity for someone who is interested in learning the business and administrative side of the heavy civil construction industry. The role is based at Bove Industries’ corporate headquarters and will work closely with project managers, accounting staff, subcontractors, vendors, suppliers, and office personnel.
Responsibilities
The Administrative Assistant will support the day-to-day administrative tasks required to keep procurement, subcontractor, and compliance processes organized and moving forward. Responsibilities may include:
- Assist with the purchase order process, including preparing, tracking, filing, routing, and maintaining related documentation.
- Help collect and organize subcontractor approval paperwork.
- Follow up with subcontractors, vendors, and suppliers for required documents, forms, and updated information.
- Maintain organized records for purchase orders, subcontractor approvals, insurance certificates, compliance documents, contracts, and correspondence.
- Assist project managers, accounting staff, and office personnel with administrative tasks related to procurement and contract requirements.
- Help process and track subcontractor, vendor, and supplier documentation.
- Assist with contract compliance tasks, including MWBE/SDVOB/DBE documentation, labor compliance paperwork, certified payroll tracking, and other project-specific requirements.
- Prepare and update logs, spreadsheets, reports, correspondence, and internal tracking documents.
- Communicate with internal departments to help ensure required paperwork is accurate, complete, and up to date.
- Support general office administration and other related tasks as needed.
Qualifications
- High school diploma or equivalent required.
- Associate’s degree, college coursework, or vocational/technical training in business, accounting, office administration, construction management, or a related field is helpful but not required.
- Prior office, administrative, accounting, or construction-related experience is helpful but not required.
- Strong organizational skills and attention to detail.
- Dependable, professional, and willing to learn.
- Strong written and verbal communication skills.
- Basic proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Comfortable working with documents, spreadsheets, emails, and filing systems.
- Ability to manage multiple tasks, follow instructions, and complete assignments accurately.
- Interest in construction administration, procurement, compliance, accounting, or office operations.

The successful candidate should be comfortable following up on outstanding items, keeping records organized, and helping ensure that required paperwork is completed accurately and on time.
Construction experience is not required. Bove Industries is looking for someone with a strong work ethic, a positive attitude, and the ability to learn administrative processes in a fast-paced office environment.
