Marketing & Administrative Coordinator

We're looking for a Marketing & Administrative Coordinator who is creative, organized, and enjoys variety. This position is much more than a traditional marketing role. You'll help tell our story, support business development, coordinate company communications, and assist with administrative and operational initiatives that keep our business running efficiently.

What You'll Do
Marketing & Communications
- Manage and maintain the company website.
- Plan, create, and publish social media content.
- Coordinate project photography and maintain the company's photo and video library.
- Design brochures, project sheets, presentations, newsletters, and other marketing materials.
- Maintain brand consistency across all company communications.
- Write employee announcements, award submissions, press releases, and client communications.
Business Development
- Prepare qualifications packages, RFQs, RFPs, proposals, and interview presentations.
- Maintain project profiles, employee resumes, and marketing content libraries.
- Assist with client events, trade shows, award submissions, and community engagement.
- Support business development efforts with research and presentation materials.
Administrative & Operational Support
- Assist with project setup and administrative tasks within company software.
- Prepare meeting agendas, take meeting minutes, and track follow-up action items.
- Coordinate company meetings, training sessions, and internal communications.
- Maintain digital files, templates, and document organization.
- Coordinate requests for signs, promotional materials, apparel, and marketing assets.
- Support executive leadership with presentations, reports, and special projects.
Technology & Process Improvement
- Help organize company information within Microsoft 365, Teams, and SharePoint.
- Maintain marketing and document libraries for easy access across the company.
- Assist with implementing new technology.
- Recommend improvements that make processes more efficient and organized.
Qualifications
- Bachelor's degree in Marketing, Communications, Business Administration, or a related field preferred.
- Two or more years of marketing, administrative, or business support experience preferred.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office 365.
- Experience with Adobe Creative Suite, Canva, or similar design software is preferred.
- Experience with WordPress, SharePoint, CRM systems, or project management software is a plus.
- Self-motivated, dependable, and eager to learn new technology.
