Position Overview
We are seeking a highly organized and detail-oriented Legal Assistant to support our
Residential Property Tax Appeals practice. This position plays an integral role in managing
client matters from intake through settlement, coordinating with attorneys, clients,
municipal agencies, and internal departments to ensure cases are handled efficiently and
accurately. The ideal candidate is proactive, possesses excellent communication and organizational skills, and is comfortable managing a high-volume caseload in a fast-paced legal environment.
Key Responsibilities
- Communicate with existing clients and prospective clients regarding the status of appeals, eligibility for new tax assessment challenges, and general case inquiries.
- Coordinate with the Accounting and Filing Departments regarding case status updates, duplicate grievance withdrawals, invoice disputes, property sale apportionments, and client information updates.
- Prepare new client files, enter client information into the firm's database, and distribute engagement letters, retainers, authorizations, and attorney substitution documents.
- Scan, organize, and maintain electronic client files, including deeds, assessment notices, photographs, sales documentation, and other supporting records.
- Coordinate with real estate agents, title companies, closing attorneys, buyers, and sellers to transfer pending tax appeals following property sales.
- Prepare legal documents and supporting materials requested by the County Attorney's Office during settlement negotiations.
- Prepare settlement packages for attorney review and client execution, including settlement letters, affidavits regarding payment of taxes, W-9 forms, and related documentation.
- Purchase NYSCEF index numbers required for Article 7 proceedings and provide documentation to Accounting.
- Process Nassau County ARC settlements and Article 7 settlements through each stage until tax refunds are issued.
- Maintain settlement tracking spreadsheets, litigation calendars, and case status logs.
- Assist attorneys with SCAR matters by gathering comparable sales data through MLS and Attom Property Navigator resources.
- Maintain accurate case notes within the firm's case management system.
- Coordinate with Accounting to provide settlement documentation necessary for refund processing.
- Assist attorneys with Suffolk County and Village Article 7 litigation, including
- calendaring and case administration.
- Prepare Village conversion analyses involving prior Nassau County settlements.
- Perform additional administrative and legal support duties as assigned.
Qualifications
Education
Bachelor’s degree preferred.
Experience
Prior legal assistant, paralegal, or law office experience preferred.
Experience in real estate, property tax, litigation, or municipal law is a plus.
