Our probate law firm is hiring an in‑office Intake Specialist to lead consultations and convert inbound callers into engaged clients. This role owns the sales cycle for families who already reached out for help settling an estate.
We are looking for someone with real sales experience — someone who has carried numbers, been measured, and knows how to guide a structured conversation toward a decision. If your background is retail, hospitality, call‑center customer service, or general “customer interaction,” this role is not a fit.
What You’ll Do
You will handle the majority of consultations from start to finish:
- Take inbound calls from prospective probate clients
- Run a structured screening tool that guides every question
- Determine whether the matter fits a standard probate service
- Present our published flat‑fee schedule with clarity and confidence
- Send the engagement letter and collect payment directly for standard probate matters
- For matters involving dispute/litigation, estate planning, or real estate:
- schedule with an attorney or
- ask an attorney a quick clarifying question
- Maintain accurate CRM notes, statuses, and follow‑ups
- Report weekly on:
- calls handled
- matters completed
- follow‑ups pending
- revenue booked
- conversion rate
Who We’re Looking For
You have actual sales history — not just “customer interaction,” but measurable performance. You’re comfortable with:
- weekly metrics
- structured workflows
- consistent follow‑up
- presenting fees
- guiding emotional conversations with calm professionalism
Preferred backgrounds include:
- mortgage loan officers
- insurance advisors
- home‑services consultants
- legal intake specialists
- paralegals with consultative phone experience
If you’ve succeeded in roles where conversations lead to commitments, you’ll succeed here.
Clear Boundaries
- Inbound only — Every call you take is from someone who already asked us for help.
- No legal advice — You follow the decision tree; attorneys handle legal interpretation.
- No fee negotiation — We publish a flat-fee schedule. You quote from it. Discounts, adjustments, and anything off-schedule go to an attorney.
- Attorney involvement only for dispute/litigation, estate planning, or real estate questions
You own the consultative cycle. Attorneys handle legal decisions.
Compensation & Benefits
- Base salary: $70,000–$85,000
- Quarterly bonus tied to intake quality, responsiveness, conversion, and client experience
- Total potential: $110,000–$150,000
- Health reimbursement, 401(k), paid time off, holidays
The pipeline is steady, the workflow is structured, and strong performers earn well.
Why This Role Matters
You will handle the majority of consultations so attorneys can focus on legal work.
You’ll run a clear, structured process that keeps the firm moving and gives leadership visibility into the pipeline.
You’ll work with callers who need calm, steady guidance during a difficult time — and help them take the next step.
