About the Role
We are seeking a detail-oriented and organized Medical Bookkeeper to join our growing ophthalmology practice. In this role, you will manage all daily financial operations, reconcile patient accounts, and ensure the accurate maintenance of our financial records.
A key aspect of this position is ensuring seamless coordination between our Electronic Medical Records (EMR) system and QuickBooks, maintaining high integrity across both clinical patient ledgers and general financial accounting.
Key Responsibilities
- Financial Tracking & General Ledger: Record all daily financial transactions, manage accounts payable (A/P) and accounts receivable (A/R), and maintain clean financial records in QuickBooks.
- EMR Reconciliation: Cross-reference daily patient copays, deductibles, self-pay collections, and insurance payouts from the EMR system against actual bank deposits.
- Banking Operations: Oversee daily bank deposits, reconcile merchant processing/credit card accounts, and balance monthly bank statements.
- Vendor & Supply Management: Review, process, and pay invoices for medical supplies, clinical inventory, and routine office utilities.
- Payroll Support: Prepare and process bi-weekly payroll, accurately tracking employee hours, performance bonuses, and benefit contributions.
- Financial Reporting: Generate monthly Profit & Loss (P&L) statements, balance sheets, and cash flow reports for practice leadership to support strategic decision-making.
- Tax & Audit Prep: Keep general ledgers organized year-round to facilitate smooth year-end tax reporting with the practice’s CPA.
Required Qualifications
- Experience: 2–3+ years of professional bookkeeping or financial administration experience, ideally within a medical or dental practice setting.
- Software Proficiency: Strong hands-on experience with QuickBooks (Online or Desktop) and advanced Microsoft Excel skills (data filtering, formulas, reconciliation models).
- EMR Familiarity: Demonstrated experience navigating medical billing ledgers, patient accounts, or insurance processing within an EMR software platform.
- Education: Associate degree in Accounting, Finance, Business Administration, or equivalent professional certification (e.g., Certified Bookkeeper).
Preferred Qualifications & Skills
- Familiarity with vision insurance portals, claim ledgers, and standard medical billing terminology.
- Strong organizational skills and sharp attention to detail required for managing high-volume, small-dollar patient transactions.
- High degree of discretion, integrity, and strict commitment to maintaining HIPAA compliance and patient privacy standards.
